## Summary of Job Duties:
The Faculty Assistant is responsible for coordinating all general office activities. Responsibilities include purchasing, processing travel and reimbursements, hiring extra labor, tracking faculty budgets, creating and maintaining confidential files, researching and preparing special reports, working on various projects and committees with faculty, and performing other duties as assigned by the supervisor. This position is governed by state and federal laws and agency/institution policy.
## Qualifications:
Required Education and/or Experience:
- The formal education equivalent of a bachelor's degree.
- Two years of experience in program administration or related area.
- Other job-related education and/or experience may be substituted for all or part of these basic requirements.
Preferred Education and/or Experience:
- Experience with Google products, including Drive, Sheets, and Docs, Microsoft Office Suite, and Adobe Acrobat Pro.
- Knowledge of state, federal, and university rules, regulations, and procedures preferred.
Job Duties and Responsibilities:
- Serves as an assistant for assigned faculty.
- Assists in copying, typing, routing, filing, and storing of exams and other documents.
- Hires extra labor for assigned faculty.
- May keep appointment calendars and prioritizes incoming correspondence and assignments for assigned faculty.
- Keeps an up-to-date and accurate record of the budget for assigned faculty and gives them a copy at the beginning of each month.
- Ensures fax machines, copiers, and printers are maintained and in working order.
- Maintains paper and office supplies for assigned faculty.
- Facilitates procurement, travel, and reimbursements by ensuring proper paperwork and forms are completed and submitted in a timely manner, requiring this person to have a purchasing card (P-Card) and a travel card (CTS Card) to make said purchases and travel arrangements.
- Checks fax machines, e-mails, and voice mails in a timely manner and processes incoming faculty mail.
- Maintains main supply closet and submits orders to supervisor.
- Assists with exam and review proctoring, scantron processing, error correction, and response collection.
- Assists faculty with committee appointments and special projects.
- Performs annual inventory of the Law School.
- May assist with travel arrangements, including Workday, for Student Affairs.
- May assist with hiring student workers in Workday for Student Affairs.
- May assist with procurement and other miscellaneous Workday tasks for Student Affairs.
- Will assist with travel arrangements, reimbursements, catering, etc. for all functions related to faculty development, including but not limited to speaker series, luncheons, internal presentations, etc.
- May serve as back-up for departmental admins when that person is out or the position is vacant. May require initiating requisitions, travel forms, reimbursements, and other administrative duties as needed.
- May assist with special projects as needed for the law school.
- May provide logistical support for college events and meetings as needed.
- Other duties as assigned by the supervisor.
