Job Description

Job Summary:

This position is located in the Dean of Students Office, reporting to the Senior Resident Dean, who is in charge of the Student Support Team (SST). The Student Support Team is convened by the Senior Resident Dean to review complex student cases; it brings together representatives from Residential Life, DAO,  Secretary of the College,  HUHS and others on a weekly basis. The Student Support Coordinator will work closely with the Senior Resident Dean to coordinate for students dealing with complex issues that impact their time at the College, including hospitalizations, emergency travel coordination for student and family members, and/or leaves of absence. The Student Support Coordinator interfaces often with the Student Support Team and residential staff, including the Allston Burr Resident Deans, the Resident Deans of First-Year Students, as well as the Dean of Students Office, staff from HUHS/CAMHS, Disability Access Office (DAO), and Housing Office.

Job-Specific Responsibilities:

Student Support and Coordination

Support individual students around complex health or academic issues. This includes:

- Serve as an immediate point of contact for the hospital social worker and care coordination team (if applicable), the student, the parents, CAMHS, HUHS, Title IX, Housing Office, DAO, and other stakeholders 
- Coordinate re-entry with HUHS, CAMHS, DAO and the hospital social worker and Care Coordination team as necessary. Attend return meetings at CAMHS/HUHS if requested. 
- In coordination with the Senior Resident Dean, convey information about policies and student situations to case/social workers in hospital and to notification group. 
- Communicate regularly with residential staff and other offices to provide updates on a student’s status and facilitate connections to other resources as appropriate.  
- Work with residential staff to arrange move-out of student belongings and/or access to room. Work with the respective FYE/House Administrator and Academic Coordinator to make sure the student is properly checked out of our student systems.

Outreach to student treatment teams each term in specific cases.

Administration

- Maintain Student Support Team records and contribute to student files as appropriate.
- Attend weekly Student Support Team Meetings and update SST records as appropriate.  
- Collect and summarize relevant information from stakeholders and residential staff to present to the College Student Support Team. 
- Work with Harvard College student information systems (SST, my.harvard, AppXtender, and StarRez) and be conversant with the College policies around hospitalizations, clearance for return, and leaves of absence, as well as the resources available to students and staff at the College. 
- Must be aware of and comply with Harvard’s policies for handling confidential student information safely and securely.

Financial Administration

- Work with the Financial Aid Office and the Senior Resident Dean regarding financial and logistical aspects of student support such as tuition and term bill implications, emergency travel and accommodation support and coordination, shipping costs, etc.
- Upon request of the Senior Resident Dean, reimburse student and family expenses using Buy2Pay (B2P), When necessary, facilitate registration by the student and/or family members for payments through vendor setup in B2P.
- Upon request of the Senior Resident Dean, arrange emergency travel for the student and/or family members, using Egencia, Harvard’s travel vendor.
- Make purchases with the appropriate University-issued credit card, maintaining receipts and processing payments in Concur.
- Be familiar with and comply with University financial policies and best practices.

Working Conditions:

Office Setting- The work schedule and location will be set by the department at its discretion and based upon operational needs and objectives and consistent with College Policy, which requires 5 days on-site in Cambridge, MA during term time (first day of classes through commencement), with the exception of winter break in December, spring break in March, and the summer months when students are away from campus, where staff is expected be on campus two days a week. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts . Additional details about the College policy will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

Travel Requirements: Local – accompanying the Resident Dean/College representative

Physical Requirements:

Able to lift file boxes, manage records, regular typing/computer work.

Qualifications

Basic Qualifications:

- 3 to 5 years of student support experience in higher education.

Additional Qualifications and Skills:

- Experience with crisis management in higher ed preferred.

Support 
Preparation of Training Materials and documentation workflow.  
- As assigned, work closely with the Senior Resident Dean and other DSO staff to compile resources and materials for training residential staff.
- Coordinate bimonthly Resident Dean meetings, take and post minutes from the meetings.
- In coordination with the Senior Resident Dean and Resident Deans, draft documents related to guidance for students related to the Student Support Team and post-hospitalization processes.
- Provide meeting and event support, including room reservations, meeting invitations, agendas, meeting summaries, and refreshments.

Work Format Details

This position has been determined by school or unit leaders that all duties and responsibilities must be performed at a Harvard or Harvard-designated location. Certain visa types may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
