About this role

Position Summary:

The Specialty Leasing Coordinator drives revenue and occupancy by lead-generating, processing lease renewals, managing contract administration, and supporting the Specialty Leasing department. This role maintains an active on-site presence across multiple locations, serving as a liaison between management, tenants, and vendors while ensuring administrative efficiency and compliance.

Key Responsibilities:

- Actively support the Specialty Leasing department by lead-generating and cold-calling prospective tenants as needed to drive revenue and occupancy.

- Assist the department with drafting new agreements and processing tenant lease renewals.

- Work alongside Specialty Leasing leaders, Legal, and internal stakeholders to draft legal letters, default notices, and general tenant communications, serving as the primary administrative team member for contract creation and preparing required legal notices and documentation for license agreements and other lease administration activities.

- Manage the monthly tracking, collection, and maintenance of Specialty Leasing tenant sales and applicable percentage rent.

- Coordinate closely with Accounting to ensure all rent and percentage rent collections are processed accurately and on time.

- Lead all Specialty tenant communication and approval workflows for Specialty tenant signage, partnering closely with Construction Services/Tenant Coordination and Operations to manage Landlord review, production, and installation timelines.

- Maintain an active on-site presence at multiple locations, serving as a liaison between the management office, tenants, guests, and vendors. Support the department with needed supplies, schedule site tours/access requests, and schedule meetings for site visits.

- Provide general administrative support, arrange meetings, and ensure tasks are completed promptly. Accept and direct telephone calls from tenants, guests, and vendors to resolve or elevate issues.

- Establish, maintain, and update record-keeping and filing systems for the Specialty Leasing department and Asset Teams. Monitor, control, and work with Insurance Compliance and tenants to ensure Certificates of Insurance are compliant.

Additional Skills:

- Excellent written and verbal communication

- Strong proficiency in Google Suite, Excel, Word, PowerPoint; Salesforce a plus.

- Ability to interact confidently with retailers, vendors, executives, and other professionals

Preferred Education:

- Bachelor’s Degree (or equivalent experience)

Preferred Years of Relevant Work Experience:

- 3+ years

Additional Requirements:

- Valid California driver’s license; Maintain continuous vehicle liability insurance as required by state law. (This role requires the regular and frequent operation of a vehicle, as defined in the Company’s MVR policy, and is part of the essential duties of this position.)

Compensation:

Base Pay Range: $32.21 - $45.05

Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
