Help Secure Funding That Advances Healthcare, Education, and Research
We are seeking a highly organized and collaborative Grants Coordinator to join the Office of Academic Affairs (OAA) . In this role, you will help support the grant lifecycle from opportunity identification and application coordination through award management and reporting.
Working closely with the Office of Academic Affairs, Deaconess Foundation, Finance, Legal, Compliance, Research, and organizational leaders, you will play an important role in helping Deaconess pursue funding opportunities that support patient care, workforce development, education, research, and community health initiatives.

What You'll Do
- Serve as a central point of contact for grant opportunities submitted by departments, leaders, and affiliates across the health system
- Coordinate the review and tracking of grant opportunities through the Grant Selection Committee process
- Monitor funding announcements, eligibility requirements, deadlines, and reporting obligations
- Assist departments in gathering information needed to evaluate and pursue grant opportunities
- Coordinate Grant Selection Committee meetings, agendas, minutes, documentation, and follow-up activities
- Support grant application development by gathering required forms, supporting documentation, budgets, and submission materials
- Coordinate internal review processes involving Finance, Legal, Compliance, Human Resources, Information Services, Research, and other departments
- Track grant timelines and deadlines to help ensure timely and complete submissions
- Assist with post-award coordination, reporting activities, and grant closeout processes
- Maintain grant records, agreements, correspondence, budgets, reports, amendments, and documentation
- Support compliance with grant requirements, institutional policies, and applicable regulatory standards
- Coordinate communication among internal stakeholders, grant funders, academic partners, and external organizations
- Respond to grant-related inquiries and provide support throughout the grant lifecycle
- Compile and analyze grants data, including proposal activity, funding outcomes, and reporting metrics
- Create spreadsheets, dashboards, reports, presentations, and executive summaries for leadership
- Participate in process improvement initiatives that strengthen grant administration and operational effectiveness
What We're Looking For
- High school diploma or equivalent combination of education and experience required
- Coursework in Business Administration, Healthcare Administration, Public Administration, Communications, or a related field preferred
- Bachelor's degree in Business Administration, Healthcare Administration, Public Administration, Nonprofit Management, or a related field preferred
- Minimum of two years of experience in administration, project coordination, program support, grants administration, healthcare operations, or a related field
- Strong organizational skills with the ability to manage multiple projects, deadlines, and competing priorities
- Excellent written and verbal communication skills
- Strong attention to detail and commitment to accuracy
- Ability to work independently while collaborating effectively with diverse stakeholders
- Ability to manage confidential and sensitive information with discretion and professionalism
- Experience developing reports, spreadsheets, presentations, and tracking tools
- Proficiency with Microsoft Office applications including Excel, Word, Outlook, and PowerPoint
- Ability to learn and effectively utilize grant management systems, document management systems, and emerging technologies
Preferred:
- Experience supporting grant administration, pre-award or post-award activities
- Experience working in healthcare, higher education, nonprofit, research administration, or academic environments
- Experience coordinating committees, managing compliance documentation, or tracking complex deadlines
- Familiarity with federal, state, private foundation, or corporate grant programs
