Position Status: Full Time (40 hrs per week), Permanent

The Otipemisiwak Métis Government is recruiting a Harvesting Intake Coordinator to support the Registry team. Reporting to the Registry Operations Manager, the Harvesting Intake Coordinator is responsible for liaising with applicants by mail, telephone, or e-mail to obtain further information or documentation as required and inform on the status of their application. The Harvesting Intake Coordinator will verify application forms to ensure they are completed in accordance with the Métis Nation of Alberta (MNA) Harvesting Policy. The successful candidate will possess strong skills in customer service, attention to detail, and data entry, and hold an understanding of the Métis Nation of Alberta’s Harvesting Policy.

Key Responsibilities

- Answer questions from Otipemisiwak Métis Government citizens through walk-ins, emails, and phone calls.

- Conduct an initial assessment to validate application requirements for harvesting applications.

- Verify application forms are complete in accordance with the MNA Harvesting Policy.

- Data capture of Harvester applications and input information into the citizenship database.

- Enter all telephone inquiries into the database using the appropriate data entry screens for tracking purposes and client maintenance information.

- Ensure all files are complete. Follow-up with applicants and request supporting documents as needed.

- Liaise with applicants by mail, telephone, or e-mail to obtain further information or documentation as required and inform on the status of their application.

- Prepare files for quality assurance and harvesting card authorization.

- Complete and track internal reporting of statistical information.

- Participate in staff meetings and special projects within the department.

- Attend Registry Drives throughout Alberta to assist citizens with the application process.

- Other duties as required or assigned.

- Strong computer skills with the ability to adapt to new technology and software.

- Proficient in Microsoft Office Suite (including Word, Excel, and PowerPoint), Google Workspace (including Docs, Sheets, and Forms), Adobe Acrobat, and database applications.

- Meticulous records maintenance skills and excellent attention to detail.

- Strong sense of ethics, with the ability to maintain a high level of confidentiality in all interactions.

- Superior written and verbal communication skills, including professional email etiquette.

- Excellent interpersonal skills, with the ability to build strong relationships.

- Ability to work independently as well as part of a team.

- Exceptional organization, multi-tasking, and time management skills.

- Sound planning, prioritization, and execution skills, with an ability to take initiative.

- Strong conflict resolution and problem solving skills.

- Flexible and adaptable, with an ability to switch between multiple priorities within a diverse and fast-paced environment.

- Political and cultural sensitivity.

- Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture is an asset.

Qualifications

- High school diploma or equivalent.

- Minimum two (2) years of data entry experience.

- Minimum two (2) years of customer service experience.

- Knowledge of or willingness to learn Willingness to learn all aspects of harvesting (hunting, fishing, and trapping in Alberta).

- Knowledge of the existing MNA Harvesting Agreement & Policy.

- Clear understanding of the Otipemisiwak Métis Government as well as knowledge of Métis history and culture.

Other Requirements

- Position is based in Edmonton, AB; in-office presence is required.

- Ability to travel to throughout Alberta (up to 25% of the role) is required.

- Ability to work a regular schedule of Monday-Friday 8:30am-4:30pm with flexibility to work evenings, and weekends, as required.

- Reliable transportation and a valid Class 5 driver’s license is required.

- Acceptable attainment of a Police Information Check is required.
