Reports to:                 HR Manager, Manchester and EMEA

The HR and Recruitment Administrator will provide proactive, efficient, and accurate administrative support to the Manchester HR function, ensuring the smooth and effective day-to-day operation of all employee lifecycle activities while maintaining high standards of confidentiality, compliance and customer service.

Key Accountabilities

Employee Lifecycle Management

- Administer the end-to-end employee lifecycle, ensuring all HR administration is completed accurately and in a timely manner, from onboarding through to offboarding.

- Manage onboarding processes including preparing offer letters and contracts, completing Right to Work checks, employment referencing and issuing new starter documentation.

- Audit employee personnel files to ensure compliance with statutory and internal requirements.

- Maintain accurate and compliant employee records within the HRIS (BambooHR), ensuring employee data, organisational structures and documentation are up to date and regularly reviewed for accuracy.

- Coordinate new starter inductions and monitor the probation tracker.

- Process all employee changes, including promotions, salary amendments, contract variations, flexible working arrangements and organisational changes, ensuring appropriate documentation and system updates are completed.

- Manage the offboarding process, including resignations, leaver documentation, system access requests, exit interviews and reporting, ensuring a smooth and compliant employee exit.

- Support the monthly payroll process by accurately preparing and submitting employee changes within agreed deadlines and resolving any data discrepancies.

Recruitment Administration

- Provide end-to-end recruitment administration, including advertising vacancies, coordinating interviews and liaising with candidates, hiring managers and recruitment agencies as required.

Compliance, Auditing & HR Administration

- Conduct regular audits to ensure employee records meet requirements.

- Maintain HR templates, forms and checklists to ensure consistency and best practice.

- Respond to general employee and manager queries, providing a professional first-line HR administration service.

- Identify opportunities to improve, standardise and automate HR administrative processes, contributing to continuous improvement across the HR function.

What We’re Looking For

To thrive in this role, you should bring:

Education & Experience

- GCSEs (including Maths and English A-C or equivalent).

- Previous experience in an HR administrative or coordinator role

- Experience supporting employee lifecycle activities (onboarding, changes, offboarding)

- Familiarity with HR systems (e.g. BambooHR or similar HRIS)

- Experience supporting recruitment coordination and liaising confidently with hiring managers, candidates and recruitment agencies.

- CIPD Level 3 qualification or working towards (desirable)

- Experience working in a manufacturing environment (desirable).

Technical Skills

- Proficient in HR systems and data management (e.g. BambooHR)

- Strong Microsoft Office skills, particularly Excel for reporting and data analysis

- Knowledge of Right to Work checks and UK compliance requirements

- Understanding of HR processes.

- Ability to maintain accurate documentation and follow structured processes

- Ability to handle confidential information with discretion and integrity

- Clear and confident communicator with strong stakeholder management skills and the ability to build effective relationships with employees, managers and recruitment agencies.
