Pavion and our family of companies are seeking a talented and motivated Supervisor, Project Coordination to join our security business unit.
Position Responsibilities:
Operational Oversight & Project Support
- Oversee the coordination and support of installation projects to ensure timely execution and successful project outcomes.
- Monitor team workloads and resource allocation to ensure appropriate coverage and efficient task distribution.
- Ensure consistent execution of scheduling, documentation, communication, and project support processes.
- Support the resolution of escalated scheduling conflicts, customer concerns, resource constraints, and project-related issues.
- Partner with field operations, project management, and other departments to improve coordination and service delivery.
- Ensure project documentation, tracking systems, and administrative records are accurate, complete, and maintained according to company standards.
Performance Analytics & Reporting
- Collect, analyze, and interpret operational and performance data related to project coordination activities.
- Develop and maintain reports, dashboards, and key performance indicators (KPIs) to measure team productivity and effectiveness.
- Analyze trends related to project volume, project status changes, open and closed work orders, scheduling activity, labor utilization, material movement, backlog management, and other operational metrics.
- Provide regular reporting and recommendations to leadership regarding team performance, capacity needs, process efficiency, and business trends.
- Identify opportunities for process improvements and operational efficiencies through data analysis and performance monitoring.
- Support forecasting and workforce planning efforts by analyzing workload trends and resource requirements.
Process Improvement & Quality Assurance
- Establish and maintain standardized procedures and best practices for project coordination activities.
- Monitor team compliance with internal processes, documentation requirements, and customer service standards.
- Evaluate existing workflows and implement process improvements to increase efficiency, accuracy, and scalability.
- Support continuous improvement initiatives that enhance customer experience and operational performance.
- Participate in the development and implementation of new tools, systems, and reporting capabilities.
Cross-Functional Collaboration
- Serve as a liaison between Project Coordinators, field operations, project management, and other business functions.
- Collaborate with leadership to establish priorities, staffing strategies, and operational goals.
- Support departmental initiatives and special projects as assigned.
- Communicate operational trends, challenges, and recommendations to management.
Basic Qualifications:
- High school diploma or GED
- 5+ years of relevant experience, including customer service, dispatch, or technical support; or an equivalent combination of education and experience
- Experience with project management, workforce management, ERP, or scheduling software
- Experience with scheduling or workforce management software
- Familiarity with low-voltage systems, construction projects, or technical terminology
- Proficient in Microsoft Office and comfortable using business software tools
- Experience creating dashboards and data visualizations using Excel, Power BI, or similar reporting tools Strong attention to detail and documentation accuracy
- Strong skills in communication, organization, problem-solving, and customer service
- Ability to manage workload independently, prioritize tasks, and work with minimal supervision
- Able to collaborate effectively with both office and field teams
- Demonstrates a desire to learn, grow, and adapt in a professional environment
Preferred Qualifications:
- Associate's or Bachelor's degree in Business, Project Management, Operations Management, or a related field.
- Experience leading teams within construction, security integration, fire alarm, low-voltage, AV integration, or technical service environments.
The salary range for this position is $70,000-$80,000 annually . The starting salary will be determined based on qualifications, experience, education, skills, certifications, and internal equity. We also offer a comprehensive benefits package.
