MAIN FOCUS: You will support child and maternal health through processing gifts, updating donor and gift information, supporting reconciliation processes, and participating in process improvements and a CRM conversion.
LOCATION: Palo Alto, CA (onsite); this temporary role is based in our Palo Alto office and requires a consistent onsite presence. From approximately November through mid-January, the role requires a minimum of 4 days onsite per week, with the option to work remotely 1 day per week. Following the conclusion of the year-end giving season, the onsite expectation may transition to a minimum of 3 days per week from mid-January through May, or through the conclusion of the temporary assignment.
WHAT YOU'LL DO...
The Temporary Gift & Data Processing Specialist is part of the Gift Administration team within the larger Advancement Services team, reporting to the Assistant Director of Gift Administration. In this role, you will support primary gift processing activities by recording, receipting, and acknowledging incoming gifts, helping ensure that each gift reaches its designated purpose and that each donor’s generosity is acknowledged. You will also update donor and gift information, perform routine data-quality checks, and support month-end reconciliation activities.
This temporary role will provide essential operational support during the Foundation’s busiest annual giving period and a significant year of CRM transformation. As needed, you may assist with clearly defined data cleanup, documentation, testing, or conversion-related tasks connected to the CRM transformation.
You will join a thoughtful, strategic team that values accuracy, collaboration, continuous improvement, and practical problem-solving. This assignment offers an opportunity to gain valuable gift and data processing experience while contributing directly to the Foundation’s mission.
This is a temporary, full-time position lasting approximately six months, from November 2026 to May 2027.
The compensation range for this role is between $30-$34 per hour.
YOU'LL BE RESPONSIBLE FOR...
- Processing routine gifts by following established procedures and detailed documentation to enter gift information accurately in the donor database.
- Preparing gift receipts and acknowledgments in accordance with Foundation practices and service expectations.
- Ensuring the accuracy of gift data entry by performing assigned daily audits, identifying potential issues, and escalating exceptions appropriately.
- Adding, updating, and correcting information in constituent records using information from donors, Foundation staff, returned mail, and approved research sources.
- Supporting the general Gift Processing email inbox and assisting with donor and staff questions, with appropriate escalation of complex matters.
- Assisting with month-end reconciliation activities, including reviewing gift data and supporting the accurate transfer of gifts to beneficiaries.
- Following documented controls and procedures to support timely processing, donor service, data integrity, and compliance during calendar year-end and other high-volume periods.
- Assisting with clearly defined CRM transformation activities, which may include data review or cleanup, documentation, testing support, and data conversion-related tasks.
- Creating or updating written documentation for recurring processes as assigned.
- Communicating workload, questions, and potential backlogs promptly so the team can prioritize and redistribute work when needed.
- Showing initiative to take on additional tasks, duties, and assignments to help the department fulfill its responsibilities.
- Performing other related duties as assigned.
YOU MUST HAVE...
- Two (2) years of experience in an administrative, database, or bookkeeping role.
- Experience doing complex data entry with strong attention to detail.
- Ability to manage multiple projects simultaneously in a busy environment.
- Ability to exercise good judgment and handle confidential and sensitive information with the utmost discretion and in compliance with applicable Health Insurance Portability and Protection Act requirements (HIPAA).
- Experience with Microsoft Excel, Word, and Outlook. Intermediate skill with Excel required.
- Ability to work with a wide variety of people and to represent the Foundation professionally with excellent written and verbal communications skills.
IT'S AN ADDED PLUS IF YOU HAVE EXPERIENCE WITH...
- Working in a non-profit, business and database management.
- Working with The Raiser’s Edge (fundraising database) or Blackbaud CRM.
- Creating and maintaining written documentation for recurring processes.
- Proactively identifying, diagnosing, and resolving issues through using existing documentation and tools and knowing when to escalate to other team members.
YOU'LL BE SUCCESSFUL IF YOU...
- You’re accurate: You accurately identify and sort diverse types of incoming gifts and enter them into our database, The Raiser’s Edge, with minimal to no input errors. If an error occurs, you learn from the error to determine why it occurred and how to prevent it from happening again. You make accurate updates to the database, and diagnose and resolve common gift entry, mail merge, database, and simple technical issues.
- You’re an exceptional communicator: You communicate clearly in writing and on the phone. You build strong relationships with our colleagues and donors through your courteous, prompt, thorough and accurate communication. You regularly check in with colleagues to ensure that work is completed fully and on time, that all questions are answered, and that difficult cases are escalated for additional help.
