Tasks
**The Role:**
We are looking for an Executive Assistant to support our Partners in the day-to-day running of the fund. We need someone truly hands-on who is comfortable owning calendars, travel, meetings and the administrative backbone that keeps a small team moving. You will work closely with the Partners and see how an early-stage fund operates from the inside.
This is a full-time role (40 hours per week), based in Berlin. If you are organized, precise and happy to make the call instead of waiting to be told, we would love to hear from you.
**Key Responsibilities:**
**Partner Support**
* Manage calendars across several Partners, owning the scheduling and resolving competing priorities
* Organise travel end to end: bookings, itineraries, and last-minute changes
* Coordinate meetings internally and with external counterparts
* Handle reimbursements and expense processing
* Draft correspondence on behalf of the Partners in German and English, including communication with external contacts
* Turn open questions into decisions the Partners can make quickly - researched, weighed up, with a recommendation attached
* Handle conference logistics and research relevant side events
**Ways of Working**
* Build reusable templates, prompts, and workflows so recurring drafting and coordination do not start from scratch every time
* Question how things are done today and automate where a human is not needed; you do not need a technical background, but you do need the curiosity to try things and the judgement to know where automation stops
**Cross-Functional Support**
* Coordinate firm-wide meetings and team dates as the person with the best overview of everyone's calendars
* Step in on recurring team processes alongside HR, Communications and Finance
Requirements
**You will thrive in this role, if**
* You bring 2-4 years of experience as an Executive Assistant, Personal or Team Assistant, or in a similar role (ideally in VC or a start-up).
* You have a Bachelor's degree, ideally in Business Administration, Management, Communications or a related field.
* You are confident with Google Suite, other everyday workplace tools, and curious to try new ones, including AI.
* You bring a genuine interest in how venture capital works and the drive and curiosity to learn from the Partners up close.
* You have exceptional organizational and communication skills, and a keen eye for detail.
* You are hands-on, reliable and take complete ownership of your work.
* You are proactive and solution-oriented.
* You stay calm and clear-headed when priorities shift at short notice.
* You handle confidential information with absolute discretion.
* You are fluent in German and English, written and spoken.
