About the Service:
Likewise Sheffield supports people affected by drug and alcohol use, providing access to treatment and support to help people make positive changes in their lives.
Based at Portland House, you'll be part of a busy service where the reception and administration team plays a vital role in supporting both the people accessing our services and the colleagues working with them.
About the Role:
We’re looking for a motivated and enthusiastic Receptionist Administrator to provide reception and general administrative support to our teams at Portland House.
As part of our front-of-house team, you'll often be the first person someone meets when accessing the service. You'll provide a warm, calm and welcoming environment while ensuring people are directed to the right appointment, professional or source of support.
This is a varied and fast-paced role requiring you to balance reception responsibilities with day-to-day administrative tasks. You'll work closely with colleagues across the service and professionals from other organisations, including Probation.
If you're adaptable, organised and comfortable working as part of a busy team, this is an opportunity to use your skills in a role that directly supports the delivery of an important community service.
What You’ll Do:
- Provide a warm, calm and welcoming first point of contact for people accessing Likewise, visitors and professionals.
- Welcome and book people in for appointments, liaising with colleagues and external professionals, including Probation.
- Support people arriving without appointments to access appropriate support through the service's duty systems or arrange suitable appointments following guidance from colleagues.
- Respond professionally to enquiries and ensure people are directed to the appropriate person or service.
- Help maintain a welcoming, organised and professional reception environment throughout the day.
- Maintain staff and visitor signing-in records and associated documentation.
- Receive, date stamp and distribute incoming post and support with outgoing post when required.
- Support the Admin Lead with administrative tasks including data entry and monitoring email inboxes.
- Work collaboratively with the wider team, managing allocated tasks and priorities effectively.
- Provide additional general administrative support to help the service operate efficiently.
To Succeed in This Role, You’ll Need:
- Previous reception experience, with the confidence to be a welcoming and professional first point of contact.
- Previous experience working within an administrative or office environment.
- Excellent organisational skills and the ability to manage several tasks and priorities effectively.
- Strong verbal and written communication skills.
- The ability to remain calm, professional and approachable within a busy reception environment.
- Confidence communicating with a range of people, including those accessing the service, visitors, colleagues and external professionals.
- A flexible and adaptable approach to your work.
- The ability to work effectively as part of a team while taking responsibility for your own allocated tasks.
- Good attention to detail and confidence completing administrative and data-entry tasks.
