Avantor is seeking an experienced Onsite Coordinator to join the raw material sample duty team. This role is responsible for coordinating daily operations, supporting workload planning and prioritization, and ensuring the timely and compliant execution of sample management activities in accordance with client and regulatory requirements.
This is a full-time position based at our client site in Schiphol-Rijk, Netherlands. The successful candidate will work closely with Associates, Coordinators, Supervisors, and other client stakeholders to support operational excellence, drive effective communication, and maintain a high level of service delivery.
Approximately 60% of the role will be dedicated to hands-on operational support within the laboratory and warehouse environment, working alongside the team to execute critical activities. The remaining 40% of the role will focus on operational planning, scheduling, KPI reporting, issue resolution, stakeholder communication, and administrative responsibilities.
This position offers the opportunity to play a key role in maintaining compliance, improving operational efficiency, and supporting continuous improvement initiatives across the Sample Management operation.
Major job duties and responsibilities
- Responsible for coordinating and executing daily RMSD operations in accordance with established procedures and client requirements.
- Coordinate sample receipt, processing, and shipment activities to ensure on-time and first-time-right completion.
- Monitor daily workload priorities and maintain oversight of operational dashboards, priority lists, and service level commitments.
- Coordinate with Warehouse Incoming and Sampling teams regarding shipment forecasts, missing documentation, relabeling requirements, and operational priorities.
- Develop and maintain daily and weekly work schedules to ensure effective resource allocation and service delivery.
- Track, maintain, and report operational metrics and key performance indicators.
- Identify, investigate, and escalate operational issues while driving timely resolution and corrective actions.
- Serve as Non-conformance initiator or assign appropriate delegates for deviations associated with sample duty activities.
- Maintain accurate documentation, records, databases, and operational reports in compliance with GMP requirements and company procedures.
- Establish and maintain effective working relationships with laboratory personnel, warehouse operations, client representatives, and external stakeholders.
- Support continuous improvement initiatives to enhance service quality, compliance, and operational efficiency.
Qualifications (Education/Training, Experience and Certifications)
- Higher education degree preferred or equivalent combination of education and relevant work experience.
- Minimum 3 years of experience in a laboratory, GMP-regulated, or pharmaceutical environment is required.
- Experience coordinating operational activities, schedules, and cross-functional workflows is required.
- Previous experience leading or mentoring small teams is preferred.
- Working knowledge of GMP principles and quality systems is preferred.
- Experience with laboratory operations, sample management, logistics, or related services is preferred.
- Experience with project management methodologies and data analysis tools is preferred.
- Experience with LIMS and other laboratory information systems is preferred.

- Fluent in English, both written and spoken.
Environmental Working Conditions & Physical Effort
Typically works in office, laboratory, warehouse, and GMP-regulated environments with adequate lighting and ventilation and a normal range of temperature and noise levels.
A frequent volume of work, changing priorities, and service-related deadlines may impose routine strain. The position requires walking around laboratory and warehouse locations, prolonged computer use, standing, bending, reaching, and light lifting or carrying of materials associated with sample management activities.
