Purpose of Job:
The Accounts Payable Associate is responsible for the financial, administrative, and clerical support for the company. This role will oversee making payments owed by the company to suppliers and other creditors, paying vendor invoices or bills, and recording the company’s short-term debt.
Job Components:
- Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Pays vendors by monitoring discount opportunities, verifying Federal ID numbers, scheduling, and preparing checks, and resolving purchase orders, invoices, or payment discrepancies and documentation.
- Ensures credit is received for outstanding memos.
- Verifies vendor accounts by reconciling monthly statements and related transactions.
- Verifies received purchase orders that are not paid or entered.
- Performs weekly Service Now audits on active cases to ensure Service Level Agreement (SLA) resolution.
- Maintains vendor records integrity through Master Data.
- Reports sales taxes by calculating requirements on paid invoices.
- Protects the organization’s value by keeping information confidential.
- Accomplishes accounting and organization mission by completing related results as needed.
- Participates in special projects and additional duties as assigned.
Qualifications:
- High School degree.
- Equivalent combination of education and/or 3-5 years’ Accounts Payable work experience preferred .
- Self-motivated, results-oriented, enthusiastic individual who will interact with a variety of vendors, suppliers, creditors, and internal teams.
- Strong knowledge of creditor terms and terminology.
- Knowledge of both accounting theory and practice.
- Exceptional analytical, evaluative, and advisory skills.
- Excellent attention to detail, accuracy, and organizational skills.
- Strong problem-solving and critical thinking skills, with the ability to identify issues, analyze data, and develop effective solutions promptly for complex accounts.
- Team player: ability to collaborate and build relationships within their team and other Interstate teams.
- Knowledge of large ERPs. SAP preferred .
- Exceptional oral, written, and active listening communication skills.
- Intermediate Microsoft skills including Excel and Word.
- Accustomed to tight deadlines with the ability to adapt to changing priorities, work independently, and manage multiple tasks to completion under minimal supervision.
- High degree of integrity.

Work Environment:
- Ability to sustain posture in a seated position for prolonged periods of time.
- Regularly required to use hands to grasp or handle, talk and hear, stand and walk.
- Specific vision abilities include close vision, depth perception and ability to adjust focus.
- Ability to occasionally lift and/or move 15+ lbs.
- Prolonged use of personal computer & telephone.
- Overtime as necessary.
