Position Purpose
The Vice President (VP) of Facilities will provide strategic leadership and oversight for all physical assets and facilities for Capital Credit Union. This role is responsible for facilities operations, capital planning, major facility projects, vendor management, team development, and long-term facility strategy while ensuring the safety, security, and operational efficiency of all facilities. The VP of Facilities will support the growth and sustainability of the institution and uphold our mission of “We do the right thing, one member, one employee, and one experience at a time to strengthen the communities we serve” by ensuring that all actions and decisions are guided by integrity, ethical standards, and a commitment to doing what is right.
Essential Responsibilities
- Strategic Planning: Develop and implement long-term strategies for facilities management, including capital planning, maintenance, sustainability initiatives, and future facility needs.
- Project Management: Lead complex capital projects from initial planning through completion, including new facilities, expansions, relocations, and major renovations. Establish and manage project scope, budgets, schedules, risks, resources, stakeholder communication, and quality expectations to ensure projects are completed on time, within budget, and in alignment with organizational objectives.
- Team Leadership: Build, lead, and develop an effective facilities team capable of supporting Capital’s current operations and future facility plans. Determine the appropriate use of internal staff, contractors, consultants, and other service providers to successfully execute projects and ongoing facilities responsibilities.
- Culture and Employee Experience: Create and maintain a positive team culture built on accountability, collaboration, service, and continuous improvement. Lead by example, reinforce Capital's mission, vision, values, and the Capital Way, and foster an environment where employees feel supported, engaged, and empowered to do their best work.
- Operational Management: Oversee day-to-day operations of all physical facilities, ensuring they are maintained to the highest standards of safety, security, efficiency, and appearance. Ensure facilities provide a welcoming, professional, and functional environment that supports exceptional experiences for members and employees.
- Budget Management: Manage the facilities budget, including forecasting, monitoring expenses, and ensuring cost-effective operations. Obtain competitive bids for projects and services to ensure the best value and quality for the credit union.
- Vendor Relations: Manage relationships with external contractors, consultants, and service providers, ensuring service level agreements are met and contracts are administered correctly.
- Compliance: Ensure all facilities comply with safety regulations, environmental standards, and credit union policies.
- Sustainability: Implement and oversee sustainability initiatives, including energy efficiency programs, waste management, and preventive maintenance schedules.
- Security: Manage security systems, monitoring services, emergency protocols, and staff safety across all locations.
- Real Estate Management: Oversee the credit union’s real estate portfolio, including lease negotiations, renewals, acquisitions, and sales of credit union property.
- Crisis Management: Develop and implement crisis management plans for facilities, including disaster recovery and business continuity plans.
- Space Planning: Oversee space planning and utilization to ensure efficient use of space and resources.
- Technology Integration: Oversee the integration of technology into facilities management, including smart building technologies and automated systems to enhance operational efficiency.
- Procurement: Oversee the procurement and management of supplies for all facilities, ensuring timely and cost-effective ordering and inventory control while maintaining high-quality standards.
- Courier Services: Manage courier services to ensure efficient and reliable delivery and distribution of documents and packages across all locations.
Necessary Experience and Qualifications
- Bachelor’s degree in Facilities Management, Business Administration, or a related field; Master’s degree preferred.
- Minimum of 10 years of experience in facilities management or a related field, with at least 5 years in a senior leadership role.
- Facility Management Professional (FMP), Certified Facility Manager (CFM), or Project Management Professional (PMP) certification is a plus.
- Demonstrated success leading complex, multi-location facility projects, including construction, expansion, renovation, major capital improvements, or other significant facilities initiatives from planning through completion.
- Exceptional project management skills, including demonstrated success managing project scope, budgets, schedules, risks, contractors, and organizational stakeholders.
- Demonstrated success leading and developing high-performing teams, building positive workplace cultures, and driving accountability, engagement, and performance.
- Excellent communication, relationship-building, and interpersonal skills.
- Proven experience managing large-scale facilities operations.
- Strong knowledge of safety regulations, environmental standards, and facilities management best practices.
- Ability to manage budgets and financial planning for facilities operations.
- Strong problem-solving and decision-making skills.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Commitment to sustainability and environmental stewardship.
- Possess and maintain a valid driver’s license and be insurable.
