About this role

The Nursing Department Administrative Assistant works with the Chief Nursing Officer (CNO) to ensure smooth operation of the Nursing Department.

Key Responsibilities:

- Act as department liaison to ensure smooth communication between the office of the CNO, units, and all other departments throughout the hospital.

- Collaborate with the Director of Quality to develop QI reports and forms to meet requirements from regulatory agencies.

- Answering phones, taking and forwarding messages.

- Process payroll electronically every two weeks for all staff in the department.

- Order monthly stationary supplies and maintain inventory.

- Prepare documents as requested to respond to information requests or correspondence for Nursing Department (internal and external).

- Track employee injury reports and send to HR when completed.

- Works with Director of Quality to review for compliance of all Department of Mental Health (DMH) restraint/seclusion forms.

- Responsible for daily mail distribution within the department including outgoing and incoming mail.

- Monitor emergency bag content and ensure new bag is ready when needed.

- Monitor vital sign equipment for the units. Order and provide new supplies as needed.

- Perform all tasks in a professional manner.

- Assist in meeting invites or other administrative tasks, as assigned.

- Other duties as requested by Supervisor.

Qualifications:

- High School Diploma required. Higher degree preferred.

- Prior administrative experience

- Excellent computer typing, editing and organizational skills. Knowledgeable in all general office procedures.

- Command of basic English including spelling, grammar, and creative writing skills.

- Demonstrated ability to be tactful and diplomatic.

- Takes initiative and follows detailed directives with accuracy.

- Can ensure confidentiality.

- Must be able to sit for up to 8 hours.

- Must be able to see and speak clearly.

- Must be able to use a computer, telephone, copy machine, etc.

- Must be able to walk up and down stairs.
