Associate Registrar for Curriculum
Job Summary:
The Associate Registrar for Curriculum serves as a key leader within the Office of the Registrar, responsible for overseeing curriculum management, academic records administration, catalog and course scheduling processes, and related academic operations. This position collaborates closely with academic and administrative stakeholders to develop and implement policies, procedures, and technology solutions that support institutional effectiveness, regulatory compliance, and student success. Reporting to the University Registrar, this position plays a critical role in ensuring accurate, efficient, and sustainable registrar operations while fostering strong partnerships across the university community.
Essential Responsibilities:
- Develop and recommend policy, process, and resource changes to achieve program and project goals to the University Registrar. Lead planning and progress meetings; set curriculum planning calendar; monitor projects progress and determine benchmarks and milestones to evaluate curriculum management success.
- Anticipate and respond to changes in university services and policies while representing the department and the institution’s academic integrity; determining how best to implement new policies and procedures. Develop and apply expert knowledge of systems of data flows to support the department’s efforts to improve curriculum management for the catalog, degree requirements, course schedule, various academic assessment initiatives, and recommend changes with an eye toward sustainability and accountability.
- Collaborate with the Associate Registrar of Operations on curriculum, graduation, and course communication for faculty and students.
- Support the department in implementing and enhancing curriculum management technologies such as but not limited to Course Leaf, 25Live and Stellic. Assist in the development of automation of current processes in the department. Maintain communication with DTS for updates to the student system; thoroughly test all new functions before launch and respond to any issues related to curriculum records.
- Oversight of various academic record keeping processes including but not limited to classroom assignments, new and revised curriculum, prerequisites, learning outcomes, degree requirements, schedule of courses, course forecasting, and publication of the annual catalog.
- Assisting the Associate Registrar of Operations with the Start and End of Term processes by generating reports specific to SOT and EOT for all students, with an emphasis on clearing students for graduation in a timely manner, updating student status, and validating census and other official reports.
- Provide ongoing training and documentation for department activities as it relates to curriculum management. Collaborate with the University Registrar in formulating policies and procedures; make recommendations to improve processes. Build and maintain relationships with the schools and department throughout the institution.
- Monitors workload trends, service demands, and organizational capacity to anticipate resource needs and inform staffing and workload recommendations.
- Leads cross-functional projects and organizational initiatives involving multiple operational areas and stakeholders.
- Represents the Office of the Registrar on committees, workgroups, and university initiatives as assigned.
- Supervise staff and measure operational effectiveness.
Minimum Qualifications Required:
- Bachelor's degree.
- A minimum of 3 years’ experience in a Higher Education Registrar’s Office.
- Experience working with student information system; strong experience with Microsoft Office 365.
- Demonstrated ability to use a variety of software systems, including but not limited to advanced Excel, and hands-on experience in performing multi-faceted and complex data queries.
- Ability to adapt quickly to changing technology.
- Committed to working with diverse student and campus populations and to “student-centered” services.
- Ability to effectively communicate with various constituencies; students, faculty, and administrators.
- Ability to work independently on multiple tasks accurately, prioritize tasks, handle confidential information and meet deadlines.
- Ability to supervise.
- Strong problem solving, training, and leadership skills.
Preferred Qualifications:
- Master's degree.
- 3-5 years’ experience in a Higher Education Registrar’s Office.
- Experience with Ellucian Banner.
- Previous supervision experience within a Registrar’s Office.
Work Location:
This position is eligible for a hybrid schedule (minimum 3-4 days on-campus, and 5 days expected during the onboarding transition), subject to change in the future based on university policy and business needs.
Position Details:
- This is a full-time benefits eligible position with a 37.5/hour work week.
- The job grade for this position is Grade 9.
- The expected salary for this position is between $90,000.00 to $113,000 which reflects what we reasonably expect to pay for this role.
