Summary
JOB SUMMARY: Reporting to the Manager, Surgical Access or designate, the Lead, Booking & Scheduling Clerk provides work direction for three (3) to ten (10) clerical staff including coordinating work assignments, prioritizing assigned work, reviewing and checking assigned work for completion, providing input into and monitoring performance to ensure department standards are met, providing work guidance and advice, facilitating resolution to problems and providing orientation and training to staff. Schedules and books outpatient appointments and admits patients by interviewing and obtaining personal patient information and entering patient information into the computerized admission, discharge & transfer system and/or appointment scheduling system. Performs clerical duties such as arranging meetings, typing technical and non-technical material, taking and typing minutes, data entry, filing and reception duties.
QUALIFICATIONS: EducationGrade 12 plus three years' recent related experience or an equivalent combination of education, training and experience.Skills and AbilitiesAbility to keyboard at 40 w.p.m. Knowledge of medical terminology. Ability to communicate effectively both verbally and in writing. Ability to deal with others effectively. Physical ability to carry out the duties of the position. Ability to supervise. Ability to organize work. Ability to operate related equipment. Provides work direction to designated clerical staff by coordinating work assignments, prioritizing assigned work, reviewing and checking assigned work for completion, providing work guidance and advice, facilitating resolution to problems, initiating corrective action, and/or referring unresolved issues to the Manager or designate. Provides assistance to the Manager or designate with staff issues such as performance evaluations, orientation and training requirements by providing input into employee performance evaluations, orienting and training new and current staff, and preparing associated document and processing necessary forms. Implements approved processes and standards under the direction of the Manager or designate through methods such as communicating approved processes and standards to staff, providing guidance as required, and being a resource to staff for questions. Reviews work procedures and makes recommendations for changes to the Manager to ensure quality work performance. Schedules and books outpatient appointments by receiving appointment request or referral, and entering patient information into the computerized Admission, Discharge & Transfer system and/or appointment scheduling system, booking a time slot, making follow-up appointments and cancelling or adjusting patient appointments. Contacts appropriate area such as doctor's office, patient, nursing unit and other departments to confirm appointments. Telephones or transmits test results and medical information to patients, physicians and others according to established procedures. Admits patients by interviewing patients, obtaining information such as personal details, completing a variety of standard forms such as medical insurance billing cards, entering information into the computerized Admission, Discharge & Transfer and/or Patient Care Administration System according to established procedures, printing out keyed data as required for consent form, explaining consent form to patients, and obtaining signatures as required. Performs reception duties by receiving telephone calls, visitors, and hospital staff and directing or transferring them to appropriate personnel, taking messages and providing routine information and escorting patients to rooms. Types a variety of technical and non-technical material such as correspondence, memos, minutes, and reports from written drafts or revisions. Photocopies, files and distributes materials as required. Sets up and maintains filing systems for materials such as correspondence, patient test results and reports by performing duties such as creating and labelling files, filing material as appropriate and retrieving information for designated personnel such as patient charts as requested. Schedules patient appointments for diagnostic tests in areas such as Radiology and the Laboratory and contacts patients to provide pre-appointment instructions as appropriate. Generates operational statistical reports by collecting, extracting, entering, and compiling data and preparing reports as per established procedures. Performs other related duties as assigned
