Who we need
Reporting to the Director, Brand Strategy, Marketing & Communications, we are hiring a Marketing Operations and Project Specialist. As our new Marketing Operations and Project Specialist, you will coordinate marketing initiatives from intake and planning through execution and reporting. You will translate marketing briefs into actionable project plans, build and manage workflows, coordinate contributors and approvals, monitor timelines and deliverables, and keep everyone informed and accountable. You will bring an understanding of how marketing work moves from concept through content, creative, approvals and production, applying critical thinking and sound judgement to keep projects moving when requirements and approval processes differ.
This is an existing full-time, fully remote opportunity open to candidates across Canada.

As our new Marketing Operations & Project Specialist, you will:
- Turn marketing briefs into actionable plans. You will participate in project intakes to understand what the team is trying to achieve, who needs to be involved and how success will be measured. You will identify missing information, clarify requirements and establish the timelines, responsibilities, dependencies, approvals and deliverables needed to move from brief to execution.
- Drive projects forward. You will take ownership of marketing projects once they move into execution, coordinating the people, decisions and deliverables required to maintain momentum. You will anticipate dependencies, follow up on outstanding commitments, resolve issues where you can and raise risks early when additional input or decisions are needed.
- Build and manage effective workflows. You will translate project plans into clear, visible workflows, giving the team an accurate view of priorities, responsibilities, progress and next steps. Using Monday.com, you will keep project information current and use the platform to create visibility, support action, and reinforce accountability.
- Apply judgement to different project needs. You will recognize that every initiative will not follow the same path. You will consider the audience, goals, budget, funding requirements, content, contributors and approval process to determine what each project needs, adapting the workflow while maintaining the structure required for successful delivery.
- Bring people together to deliver. You will work across Marketing & Communications and with teams such as fundraising and research to coordinate contributions, decisions and approvals. You will clarify responsibilities, communicate changes and next steps, and respectfully follow up to keep commitments and timelines on track.
- Strengthen how the team works. You will identify opportunities to improve templates, workflows and processes based on what you learn from managing projects. You will help create greater consistency and visibility where it adds value while avoiding unnecessary processes when a simpler approach will achieve the desired result.
- Convert activity into useful insights. You will maintain recurring reports, dashboards, and campaign summaries, including month-over-month and year-over-year comparisons and other performance measures. You will help organize and communicate results so the team can understand performance and use those insights to inform future activity.
- Keep marketing operations running smoothly. You will coordinate the practical requirements behind the team’s work, including meetings, vendors, French-language translation, and marketing platforms and tools. You will use Microsoft tools,http://monday.commonday, and available AI-enabled technology to organize information, improve efficiency, and support delivery.
What you bring:
- The marketing experience. You have experience coordinating marketing initiatives and understand how work moves from an idea and brief through content, creative, approvals, production and delivery. You understand the different contributors and handoffs involved and can anticipate what comes next. Your background may include marketing coordination, marketing operations, account management or project coordination. Experience in a nonprofit, healthcare, higher education, government or another environment involving multiple teams and complex approval processes is an asset.
- The project management skills. You know how to manage multiple projects at different stages while maintaining visibility into timelines, dependencies, approvals, priorities and deliverables. You can anticipate what may affect progress, maintain attention to detail and keep people focused on what needs to happen next. You understand that effective project management is as much about coordinating people, decisions and information as it is about managing tasks. You are comfortable usingmonday.com (http://monday.com) or a comparable platform such as Asana, ClickUp or Trello.
- The critical thinking and resourcefulness. You do not need every step mapped out for you. You can assess the information available, recognize what is missing and ask questions that get to the information you need. When you encounter an obstacle or ambiguity, you investigate, consider the options and recommend a practical way forward. You know when you have enough information to decide and when you need to bring someone else into the conversation.
- The ownership and follow-through. You take responsibility for your work from the moment it is handed to you through to completion. You track commitments, close loops, and follow up when something is outstanding rather than waiting for someone else to notice. You communicate progress, anticipate issues and raise risks or delays early.
- The judgement and adaptability. You value clear processes, but you recognize that not every marketing initiative will follow the same path. You can assess what a situation requires and adjust your approach without losing sight of the details, deadlines or intended outcome. You are comfortable balancing multiple priorities and responding constructively as requirements change.
- The relationship building and collaboration skills. You work effectively with colleagues across different teams, priorities and areas of expertise. You build trust, understand what others need from you and bring people together around a shared outcome. You are comfortable asking for decisions, following up on commitments and creating accountability while maintaining positive working relationships.
- The communication skills. You have exceptional written and verbal communication skills. You ask clear questions, clarify expectations, share useful updates and make sure people have the information they need to act. You can adapt your approach and messaging to your audience, whether you are working with an internal team, leadership, partners or the broader public. Bilingualism in English and French is an asset and would be valuable when coordinating French language marketing work.
- The technical aptitude. You have strong practical skills using Microsoft tools and can quickly learn new systems and platforms. You are comfortable exploring AI-enabled technology and using available tools to organize information, solve problems, improve efficiency, and support the quality of your work.
- The independence and accountability. You are comfortable working remotely and can organize your time, manage competing priorities, and maintain momentum without needing detailed day-to-day direction. You stay connected to the team, communicate proactively and recognize when to move forward independently and when to ask for support.

Compensation:
At Parkinson Canada, we believe that compensation should be fair and supportive of your experience and growth. For this role, the salary is between $60,000 - $70,000 per annum. Our salary ranges reflect progression from learning in the role to excelling, with each offer based on skills, experience, and role complexity. We strive for equitable, consistent pay, though rates may vary within the same role based on performance, specialized knowledge, and impact.

- A virtual interview with the Director, Brand Strategy, Marketing & Communications to explore your marketing experience, approach to coordinating multiple projects and stakeholders, and ability to work independently in a remote environment. You will discuss how you bring structure and momentum to work when all of the details are not defined at the outset.
- A final virtual interview with the Director of Marketing & Communications and a senior member of the Marketing & Communications team. The conversation will explore collaboration, judgement, critical thinking and your approach to managing marketing workflows. This stage may include a short project scenario designed to understand how you assess an incomplete marketing brief, identify missing information, ask questions and determine how you would move the work forward.
