Appointment Type:  Temporary-Exempt (TEX), Category 18:  This is not a permanent appointment. This position is excluded by the Charter from the competitive Civil Service examination process and shall serve at the discretion of the Appointing Officer and shall not exceed 36 months.

Public Works currently has a vacancy for the position of Public Service Aide - Associate to Professionals (9922) within the Bureau of Building and Street Repair (BBSR).

Job Description

As a Public Service Aide – Associate to Professionals, under minimum direction, you will perform a variety of duties requiring a high level of responsibility, carry out complex tasks relative to the performance of management functions, and research/analyze data. In this role, you will utilize a Computerized Maintenance Management System (CMMS) to perform essential job duties as required.

Important and Essential Duties:
Your duties as a Public Service Aide - Associate to Professionals may include, but are not limited to, the following:

- Enter vendor quotes and related information into the department’s CMMS to prepare material and supply requisitions.
- Coordinate with shop supervisors to verify receipt of ordered items and process corresponding invoices and receipt documentation in the department’s financial system.
- Provide backup support for payroll functions, including entering and reviewing timekeeping data as needed.
- Perform a variety of administrative duties to support daily operational needs.
- Maintain organized records and files, and retrieve documents, correspondence, and reports upon request.
- Process and file daily field reports and departmental documents, including but not limited to urgent repair requests and time‑off submissions.

Qualifications

Education:
High School Diploma or successful completion of an equivalency test (GED or California High School Proficiency Exam).

License:
Possession of a valid Class C California driver’s license

Note: One-year full-time employment is considered equivalent to 2000 hours (2000 hours of qualifying work experience is based on a 40-hour work week). Any overtime hours that you work above forty (40) hours per week are not included in the calculation to determine full-time employment.

Desirable Qualifications: 
The stated desirable qualifications may be used to identify candidates advancing to the interview process and/or to identify job finalist(s) at the end of the selection process when referred for hiring.

- Demonstrated ability to communicate clearly and professionally.
- Proficiency in basic computer applications and strong administrative skills.

Selection Procedures:

Supplemental Questionnaire (SQ):  Candidates may be required to complete a Supplemental Questionnaire (SQ) as part of the employment application. This SQ is designed to obtain specific information regarding an applicant's experience in relation to the Minimum Qualifications (MQ) for this position. The SQ will be used to evaluate if the applicant possesses the required minimum qualifications.

The selection process will include an evaluation of applications in relation to minimum requirements. Depending on the number of applicants, the department may establish and implement additional screening mechanisms to comparatively evaluate the qualifications of candidates. If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the department will move forward in the recruitment process.
