Meeting and Events Support Specialist
What this job involves:
As a Meeting and Events Support Specialist at JLL, you'll be at the heart of creating seamless, high-impact experiences for our clients and internal teams. This role involves managing the end-to-end execution of 8-12+ daily events during peak periods, ensuring every detail—from room configurations and technology setups to audio-visual support and vendor coordination—runs flawlessly. You'll conduct pre-event checks, coordinate with meeting crews, troubleshoot technology in real-time, and maintain our state-of-the-art conference spaces and equipment. What your day-to-day will look like:
- Conduct 30-minute pre-event checks of meeting spaces to verify setup accuracy, ensure technology systems (including video walls) are functioning properly, and confirm rooms are event-ready
- Coordinate meeting crew crossovers to demonstrate camera angles, microphone usage, space connectivity, and answer technical questions to ensure successful event execution
- Provide on-site audio-visual support for events, ranging from 30-minute tech checks to extended support for multi-presenter or high-profile events requiring continuous assistance
- Manage table setup and breakdown for approximately 10-15+ catering events, pop-up activations, and special requests throughout the week
- Perform regular meeting space and conference room audits, testing all equipment functionality with primary focus on Horizon Hall, configurable spaces, and rooms with Teams Panels
- Plan daily operations and maintain Planon ticketing system by reaching out to crews, clarifying gaps or questions, updating ticket status, and coordinating team assignments
- Support dress rehearsals and dry runs for local and cross-campus events, ensuring all technical elements are tested and optimized before go-live
- Escort vendors as needed for non-technical supervision requirements and coordinate special event audio requests through the ticketing system
- Conduct monthly AED audits and support miscellaneous operational tasks including box moves, space audits, and one-off project requests
Required qualifications:
- 2+ years of experience in event support, meeting services, or audio-visual operations in a corporate or hospitality environment
- Strong technical aptitude with demonstrated ability to troubleshoot audio-visual equipment, video conferencing systems, and meeting room technology
- Excellent attention to detail with ability to manage multiple concurrent events and prioritize tasks in a fast-paced environment
- Proven communication and interpersonal skills with ability to coordinate effectively with diverse teams, vendors, and stakeholders
- Flexibility to work peak event days (Tuesday through Thursday) and adapt to changing schedules based on event demands
- Physical ability to perform table setup/breakdown, move equipment, and remain on your feet for extended periods during events
Preferred qualifications:
- Experience with Microsoft Teams Panels, video wall systems, and enterprise-level conferencing technology platforms
- Familiarity with workplace management systems such as Planon or similar ticketing and space management software
- Background in corporate real estate, facility management, or workplace services within a professional office environment
- Certification or training in audio-visual technology, event management, or related technical disciplines
- Experience supporting high-profile executive events or large-scale corporate meetings requiring heightened attention to detail
