Summary

The Shared Services Data Assistant supports the accuracy, consistency, and timely maintenance of policy information across core systems. This role works closely with account management, production, and operational partners to address policy data requests, support renewal activity, and help sustain efficient workflow across the team. The position requires strong attention to detail, sound judgment, and a willingness to contribute to process improvement in a fast-paced environment.

Essential Duties and Responsibilities include, but are not limited, to the following:

- Collects, enters, reviews, and maintains insurance policy information received from the Operations Support team, ensuring records remain accurate, complete, and current. Escalates and partners with Shared Services leadership and IT to resolve data issues as needed.
- Coordinates effectively with Producers, Account Managers, and other service team members to support day-to-day business needs using established systems and processes.
- Manages the end-to-end loss run process for the Loss Information Unit, including requesting loss runs on behalf of team members, proactively obtaining updated loss information ahead of renewals, retrieving loss runs through carrier portals, and coordinating with carrier representatives or other contacts as needed. Partners closely with the India team to track outstanding requests, address delays, and ensure materials are available to the service team within established timelines.
- Provides support across departmental service-level agreements, including Billing, Policy Headers, Policy Downloads, Analytics, and Policy Checklisting.
- Maintains stored documents in designated electronic systems and updates databases and records as required.
- Supports workflow management and quality assurance standards in accordance with Graham guidelines.
- Prepares and routes correspondence on behalf of team members as needed.
- Participates in meetings related to the role and helps coordinate unit team meetings.
- Pursues professional development opportunities and may work toward relevant professional designations to strengthen job knowledge.
- Performs additional duties and project work as assigned, including support for other units, billing, loss summaries, spec updates, and checklisting activities.

Required Education and Experience

- High school diploma required; 3 to 5 years of administrative experience preferred.
- Advanced proficiency in Microsoft Office Suite.
- Experience working in a team-based, deadline-driven environment.
- Proficiency with standard computer applications.

Work Location

•       Work is typically performed in a hybrid manner, minimum 2 days per week, at Marsh's Philadelphia, Pennsylvania office.

The applicable base salary range for this role is $55,000 to $65,000.

The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
