Position Summary:

This position supports the daily operations of the Veterinary Pharmacy by providing a welcoming and efficient client experience, coordinating prescription pickup and payment, and facilitating communication between the pharmacy, front desk, and clinical teams. Key responsibilities include assisting clients at the pharmacy window, processing payments, monitoring prescription status, answering general pharmacy questions, entering patient and client information, and supporting medical record and financial services workflows by checking out in patient hospital clients to streamline steps for clients. The position serves as an important point of coordination to help ensure clients receive timely, accurate, and positive service and experiences throughout the prescription pickup and checkout process from in hospital visits, refills, or our mail out option.

Description of the Work Unit:

At the CSU Veterinary Health System (VHS) we exist to educate the next generation of veterinarians by providing exceptional veterinary care and service to the community every day. This work unit exists to provide administration and direction of the Veterinary Teaching Hospital and provide a support facility for service to the general public and referring veterinarians.

Essential Job Duties:

- Provide primary coverage for the pharmacy client payment window and process client payment transactions, including collecting payment for prescriptions, OTC items, open or outstanding invoices, and other pharmacy-related charges.
- Assist with over-the-phone payments for compounded and shipped medications as needed.
- Coordinate prescription workflow and client pickup, including monitoring prescription status, locating completed prescriptions, and tracking prescriptions for clients waiting in the hospital.
- Provide pharmacy client service, answering general pharmacy questions and facilitating communication between clients, pharmacy staff, and hospital teams.
- Maintain pharmacy records and documentation, including organizing prescription hard copies and entering new patients and clients into the pharmacy system.
- Support medical record and financial services workflows by reviewing medical record status, closing eligible medical records, documenting pending treatments, and communicating outstanding issues to appropriate staff and/or managers.
- Monitor pharmacy and front-desk communication channels and respond to or appropriately route requests requiring pharmacy follow-up.
- Other replated duties as assigned.

Conditions of Employment:

- Pre-employment Criminal Background Check (required for new hires).
- Essential Services Designation: Required to report without delay or interruption to provide essential or emergency services to ensure health, safety and welfare.

Minimum Qualifications:

- Minimum Education required : HS diploma or GED

- Minimum Experience/Skills required : Demonstrated customer service experience, including the ability to communicate professionally and compassionately with clients in person and by telephone.
- Experience handling payments, financial transactions, invoices, or similar account-related activities with a high degree of accuracy.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Demonstrated ability to use computers and learn electronic systems for processing transactions, maintaining records, and communicating with team members.
- Ability to communicate effectively and work collaboratively with individuals from a variety of professional roles and backgrounds.
- Demonstrated ability to use judgment to resolve routine issues independently and recognize when questions or concerns require escalation to appropriate staff.

Preferred Qualifications:

- Experience providing in-person client/customer service, particularly in a busy or emotionally sensitive environment.
- Experience processing payments, managing invoices, reconciling accounts, or resolving billing/payment issues.
- Experience using electronic medical records, pharmacy software, point-of-sale systems, or other healthcare information systems.

# Salary Range
$41,600 - $43,800
