Job Summary:
This recruitment will be used to fill one full-time (1.0 FTE), Program Technician 1: Compliance Coordinator position for the Academic Operations (Office of the Registrar, Curriculum Management & University Accreditation) at Oregon State University (OSU)

The Compliance Coordinator in the Office of the Registrar reports to the Deputy University Registrar and serves on the Compliance Team. The position supports university compliance with the Family Educational Rights and Privacy Act (FERPA) and other federal, state, and institutional regulations, with a primary focus on student privacy.
Serving as a key resource for faculty and staff, this role provides performs routine compliance procedures, operationalizes student privacy controls, and supports compliance-related initiatives within the Registrar’s Office. Success requires adaptability, flexibility, and the ability to navigate a dynamic environment.
The position collaborates extensively with stakeholders across the university to build strong partnerships, communicate compliance requirements, and provide research, analysis, and summaries of regulations that impact Oregon State University.
Key Responsibilities:
- Serve as the university’s frontline resource for student privacy and FERPA compliance, providing guidance to faculty and staff on applicable laws, policies, and procedures.
- Manage student privacy incidents and records requests, including reviewing and documenting FERPA violations, coordinating responses to subpoenas and records requests, and supporting remediation efforts.
- Administer access to student data systems, processing access requests, managing user permissions, and recommending action on exceptions or complex requests.
- Support and monitor compliance programs and training, including student privacy education, data-sharing practices, and compliance initiatives within the Office of the Registrar.
- Process and maintain compliance-related student records and approvals, including petitions, academic conduct actions, deceased student records, and electronic communication plans.
- Conduct research and analysis of federal, state, and agency regulations, providing recommendations and updates to support office compliance efforts.
- Collaborate with stakeholders across the university to strengthen compliance practices, support cross-functional initiatives, and contribute to special projects, commencement activities, and other Academic Operations priorities.
Qualifications:
Required Qualifications
- Three years of experience administering or coordinating parts or subsets of a project or program. A Bachelor's degree in Business Administration, Management, Public Administration, or field directly related to the position will substitute for two years of the required experience. Preference in hiring may be given in a special area specific to the position opening.
- Ability to analyze complex issues and situations through many lenses, including an equity lens; identify alternative solutions; forecast consequences and disparate impacts across populations; and recommend effective courses of action.
- Experience providing exceptional internal customer service, with the demonstrated ability to take appropriate actions when critical situations arise.
- Demonstrated ability to work both independently and collaboratively.
- Ability to produce work both accurately and efficiently.
- Effective written and verbal communication skills, including the ability to communicate with administrative management and academic constituencies.
- Ability to work within an environment where ambiguity and the ability to pivot quickly are commonplace.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq.
Preferred Qualifications
- Experience working professionally in higher education.
- Experience supporting or coordinating a student privacy compliance program.
- Experience coordinating or responding to audits or compliance surveys.
- Professional experience working in a student information system such as Banner, Colleague, or Jenzabar, etc.
- Experience providing compliance training to stakeholders.
