Reports to: Talent & Learning Enablement Team Manager

Job Description Summary:  As part of the global Talent & Learning team, you will enable and deliver great learning opportunities for our global AVEVA group employee base, including AVEVA, RIB and ETAP employees. 
The role incumbent plays a critical role in the end-to-end co-ordination and execution of learning programs, whether in person, virtual classroom or virtual independent learning, working closely with assigned Talent & Learning programme leads.

Job Description:

Principal Accountabilities

- Partnering with the Talent & Learning team to understand the business needs to deliver great learning experiences.

- Program co-ordination and administration from vendor co-ordination, procurement, logistics and liaison with learners at every step of their learning experience.

- Plan, organize, and coordinate training programs, workshops, and webinars

- Schedule training sessions and manage logistics, including venue arrangements, technology platforms, materials and vendors.

- Manage vendor and procurement processes and payments using the appropriate systems and processes

- Handle participant registration, communication, and enrolment processes.

- Be the first point of contact for program participant queries

- Maintain accurate records of attendance, evaluations, and other training-related data, including training brochures and other materials

- Ensuring learning communication channels (e.g. SharePoint, ServiceNow and intranet pages) are up to date

- Set up and manage course, programme and learning event evaluations including distribution, reminders and closure. Use this data to identify trends and improvement opportunities and implement agreed improvements in conjunction with the Talent & Learning program leads

- Implement assessment strategies to measure the effectiveness of training programs.

- Generate reports on training metrics, participant feedback, and other key metrics.

- Communicate training schedules, expectations, and updates to relevant stakeholders.

- Facilitate virtual instructor led training, workshops or panel discussions as needed

- Creation and management of courses.programs and learning paths in Workday Learning, including third part content, ensuring adherence to data standards, catalogue management and a smooth learner experience

- Provide learner and learning program manager support by addressing queries and troubleshooting issues submitted to a case/ticketing management system.

- Support reporting and analytics requests, both planned and on demand including learning hours, learning spend, recharge and other talent data as required.

- Liaise with external training vendors to confirm schedules, session logistics, facilitator allocation and learner communications. Keep learning records up to date based on external vendor data

- Manage Procurement tasks for supplier onboarding, contract approvals, raising requisitions for POs and invoicing, preparing the required documentation, following up on delays and queries and tracking status.

- Maintain accurate records of procurement steps to support budgeting processes.

- Ensure learning delivery schedules are aligned with procurement timelines to avoid delivery risk.

- Creation and maintenance of learning content, including presentations, videos and e-learning   with the support of subject matter experts.

- Uphold the standards and tools for learning content, constantly improving the UX of the systems, defining and monitoring catalogue governance, branding standards and ensuring learning is accessible for all learners from a n inclusive perspective

- Support maintenance and improvement projects for the Talent & Learning systems, processes and policies

- Participate in and/or follow industry and vendor webinars, newsletters etc. t To develop expertise in talent and learning methods, trends and technologies.

Important Working Relationships

It is important that the Talent & Learning Co-ordinator is comfortable interacting with employees of all levels and positions throughout the company as well as external talent & learning vendors and training providers. As a global multi-national company, the incumbent requires sensitivity to other perspectives and cultures.

The role reports into the Talent & Learning Enablement Team Manager and also provides day to day support to assigned Talent & Learning program managers. Close working relationships with the Talent & Learning team, People Services and People Technology are essential to provide a consistent and joined up experience to learning.

Essential Competencies, Knowledge, Skills and Experience

- A minimum of 2-3 years relevant work experience within Learning and Development Talent Development, or Learning CoE environments

- Experience of operating in a regional or global role

- Experience in a technical support or frontline support role preferred, including use of ticketing tools

- Demonstrated ability to troubleshoot software issues

- Strong Excel experience including knowledge of PowerPivot and PowerQuery.

- Must have experience working with a learning management system, preferably Workday Learning

- Demonstrated ability to work independently and take initiative while also being an effective team member

- Strong administration, time management and co-ordination skills, working on multiple activities with SLA deadlines

- Ability to proactively problem solve

- Demonstrated ability to build trusted relationships; interface and influence effectively at all levels of the organisation

- Strong consulting, verbal and written communication and presentation skills

- Attention to detail and accuracy

- Ability to handle sensitive information in a confidential manner

- Basic facilitation experience (ILT/VILT) preferred

- Understanding of learning design principles and learner engagement

- Basic experience with e-learning course creation/editing and video editing tools preferred to be able to create and promote learning

- Exposure to behavioural learning, leadership development, or early careers programs

- Ability to use approved AI tools to explore new and more efficient ways of working to improve the learner experience

Working pattern:

- Hybrid working pattern with 50% in office.  Usual pattern would be 3 days a week in Hyderabad office and 2 days a week working from home. The incumbent is expected to shift their working hours to incorporate some evening working hours to co-ordinate with employees and team members in the US.

Hybrid working

We work in a hybrid way at AVEVA. Most roles are based at a local AVEVA office, with an expectation of being on-site 50% of your working hours to support collaboration and connection. Some positions are fully office-based depending on the nature of the work, and certain roles that support specific customers or markets may be remote.
