Position: General Services and Workplace Services Intern
Purpose
Provide administrative and operational support to the General Services Department in maintaining efficient day-to-day office operations, workplace readiness, employee services, supplies and inventory, and general administrative requirements.
The intern will gain practical experience in office administration, facilities and workplace support, inventory management, vendor coordination, documentation, and employee service while supporting the General Services team.
Key Responsibilities
General Services and Office Administration
- Assist with day-to-day administrative and operational activities of the General Services Department.
- Assist in responding to and coordinating employee and workplace-related requests.
- Prepare, organize, scan, file, and maintain administrative documents and records.
- Encode data and update departmental trackers, logs, and monitoring reports.
- Assist in preparing administrative forms, reports, and other department documentation.
- Support gate pass, access, delivery, and other office-related requests and records.
Workplace and Facilities Support
- Assist in ensuring meeting rooms, common areas, and workspaces are properly prepared and maintained.
- Support meeting room setups, office arrangements, and workplace readiness activities.
- Assist in monitoring workplace and facility concerns and coordinating with the appropriate team or service provider.
- Support scheduled maintenance activities, inspections, and other workplace-related requirements.
- Assist in monitoring and reporting office facility or equipment concerns to the General Services Officer.
Supplies and Inventory Management
- Assist in monitoring office, pantry, and workplace supplies.
- Conduct inventory counts and update inventory monitoring records.
- Assist in organizing storage areas, supply cabinets, and stockrooms.
- Monitor stock levels and report replenishment requirements.
- Receive, check, sort, and properly distribute deliveries and supplies.
- Assist in maintaining accurate records of issued and received supplies.
Pantry and Employee Services
- Assist in maintaining pantry cleanliness, organization, and workplace readiness.
- Assist in monitoring pantry supplies and replenishment requirements.
- Support employee meal, beverage, and other workplace service arrangements.
- Assist with employee requests and other General Services-related services as assigned.
Events and Workplace Activities
- Provide administrative and logistical support for company events, employee activities, meetings, and workplace programs.
- Assist with event preparation, venue setup, materials, supplies, and coordination.
- Support post-event documentation and inventory monitoring when required.
Vendor and Service Provider Coordination
- Assist in coordinating with suppliers, vendors, couriers, and service providers for routine requirements.
- Assist in monitoring delivery schedules, service appointments, and pending requests.
- Help maintain vendor-related documents, records, and monitoring trackers.
- Perform other General Services and administrative duties as assigned by the General Services Officer.
Qualifications
- Currently enrolled in a college/university program, preferably in Business Administration, Office Administration, Hospitality Management, Management, Engineering, or a related field.
- Basic knowledge of Microsoft Office, Google Workspace, or similar productivity tools.
- Good communication and interpersonal skills.
- Organized, detail-oriented, and able to maintain accurate records.
- Proactive, dependable, and willing to learn.
- Able to work well with different teams and handle multiple administrative tasks.
- Willing to perform both administrative and operational support tasks as required by the General Services Officer.
