About the Role
The Executive Assistant & Strategic Operations Coordinator is a unique hybrid role combining executive support, business analysis, and strategic operations leadership. Working closely with the Managing Director, this position plays a critical role in supporting business decision-making, driving operational excellence, and coordinating strategic initiatives across the Japan and Korea healthcare markets.
The successful candidate will provide analytical insight, identify process improvement opportunities, support strategic project execution, and ensure seamless executive operations. This role requires strong business acumen, exceptional organizational skills, and the ability to work effectively across multiple functions and seniority levels.
Responsibilities
Business Analysis & Strategic Insight (40%)
- Design and maintain KPI dashboards and reporting to support management decision-making and leadership meetings.
- Conduct market and competitive analysis to surface opportunities and risks across the Japan/Korea healthcare market.
- Monitor regulatory, government, and policy developments relevant to the healthcare markets, translating them into actionable insight for leadership.
- Prepare data-driven briefing materials for senior leadership, board updates, and cross-regional discussions.
Process Improvement & Project Leadership (40%)
- Identify inefficiencies in cross-functional workflows and lead redesign of targeted processes.
- Support execution of strategic initiatives set by leadership, partnering with Sales, Marketing, Finance, and other functions to drive progress.
- Track progress on key projects, ensuring accountability, alignment, and timely delivery.
- Support change management and communication for organization-wide initiatives.
Executive Support (20%)
- Manage the Managing Director's calendar, meeting logistics, and travel arrangements.
- Prepare, review, and refine presentations, correspondence, and internal and external communications.
- Coordinate with regional and global stakeholders on scheduling, follow-ups, and visiting executives.
- Handle expense processing, approvals, and administrative documentation.
Requirements
- 5+ years of experience in executive support, business operations, or business analysis, ideally within a multinational organization.
- Business-level English and Japanese (written and spoken).
- Strong analytical skills with hands-on experience in Excel and PowerPoint; experience with BI tools is a plus.
- Excellent stakeholder management skills with the ability to work effectively across cultures, functions, and seniority levels.
- High degree of sound judgment and comfort operating in ambiguous environments.
- Demonstrated ability to manage competing priorities and drive multiple projects to completion.
- Bachelor's degree preferred but not required.
