Process Coordinator
Overview of the Role:
We are looking for a highly organized, proactive, and detail-oriented Process Coordinator to provide high-level support to a member of our Executive Committee. In this role, you will help ensure that priorities move forward smoothly by coordinating schedules, meetings, communications, follow-ups, documentation, and logistics.
You will work closely with the Executive Committee member and relevant stakeholders, acting as a trusted point of coordination and ensuring that key actions, deadlines, and processes are managed with accuracy and clarity in a fast-paced, multicultural environment.
What you'll do:
- Manage communication and correspondence on behalf of the Executive Committee member and/or direct supervisor, including email communication and engagement with internal and external stakeholders.
- Coordinate calendars and meetings across different time zones, ensuring schedules are well-organized and priorities are appropriately managed.
- Prepare meeting materials , including agendas, presentations, reports, and minutes, in line with existing guidelines and requirements.
- Track actions, tasks, and deadlines , ensuring timely follow-ups with responsible stakeholders and providing regular updates on progress.
- Prepare and maintain documentation , including reports, presentations, records, and other materials using inputs from different sources.
- Coordinate travel and logistics , including flights, accommodation, itineraries, and other arrangements in line with company policies.
- Support event planning and coordination for the Executive Committee team member, as well as manage signature processes and maintain secure and well-organized records.

- Strong organizational, time management, and multitasking skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Experience with digital collaboration tools such as Zoom, Microsoft Teams, Miro, Slack, and Planner
- Strong follow-up and coordination skills
- Ability to work effectively across different teams, time zones, and cultures
What you'll bring:
- 2–3 years of experience in a similar role, such as Executive Assistant, Process/Project Coordinator, or senior administrative position
- Professionalism and discretion , with the ability to handle confidential information and communicate effectively with senior stakeholders
- Fluency in English ; additional relevant language skills will be considered a plus
- A proactive, reliable, and structured approach, with the ability to manage multiple priorities in a fast-paced environment
