We are seeking an experienced, organized, and collaborative Sr. Practice Assistant to join the Department of Orthopedics. In this advanced administrative role, you’ll support efficient practice operations, coordinate patient services, and serve as a knowledgeable resource for colleagues across the practice.

Working with minimal supervision, you’ll bring a high level of proficiency to scheduling, registration, billing, and complex administrative functions while providing functional guidance to other Practice Assistants and supporting the daily activities of practice staff.

What You’ll Do

- Coordinate patient appointments, maintain scheduling records, respond to inquiries, and support efficient patient check-in and check-out processes.
- Perform advanced administrative and clerical functions supporting clinical service and practice operations.
- Process patient billing forms, maintain accurate documentation, and scan records into the patient medical record.
- Serve as a Super User for scheduling, registration, and billing systems, providing assistance and training to colleagues.
- Perform complex or specialized functions, including surgical scheduling and provider schedule changes or blocking, as needed.
- Provide functional guidance to Office and Practice Assistants and, in partnership with the Supervisor, help oversee daily practice activities.
- Manage patient communications related to prior authorizations, provider questions, prescription refills, and test results.
- Collect co-payments when required and support other patient-facing administrative functions.
- Collaborate with providers, clinical teams, and administrative colleagues to support smooth, efficient practice operations.

Qualifications

- High school diploma or equivalent required.
- 3–5 years of office experience required.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Strong knowledge of office operations, standards, and administrative procedures.
- Ability to manage non-routine phone inquiries and appropriately resolve routine issues.
- Excellent written and verbal communication skills, including the ability to compose, edit, and proofread professional correspondence and documents.
- Strong organizational and time management skills with the ability to effectively manage multiple priorities.
- Ability to follow established protocols, work independently within established systems, and provide guidance to others.
