About this role

Citi's Government Affairs, headquartered in Washington D.C., provides advice on geopolitical developments, with policymakers to advance and protect the company's interests  and assists business tap into new opportunities.

The  team works closely with  business and corporate areas to advocate for Citi's interests through direct contact with government officials and trade associations and provides briefings for the senior executive and clients in support of meetings.

Government Affairs is part of Citi’s Enterprise Services and Public Affairs (ESPA) which aims to enhance how our stakeholders perceive and experience Citi.  We manage our reputation by engaging with our stakeholders and delivering great spaces and services to colleagues and clients.

The Senior Executive Assistant Government Affairs JANA + AS provides support to an another the regional head of Government Affairs JANA +AS (covering 15 countries) and assists the broader Government Affairs team in the region (10 people) with some tasks. Work with the Head of Government Affairs JANA + AS includes handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements, assisting with budget tracking and acquittals, helping to prepare presentations, submission of documents relating to risk and controls, inputting of quarterly reporting and other administrative tasks as required.

Responsibilities:

- Directly supports a C16 level manager (Managing Director and Head of Government Affairs Asia) and supports an entire department with some tasks (Government Affairs Asia Regional and Country Teams totaling 10 people)
- Manages day to day calendar(s) of senior management
- Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
- May prepare and review materials and correspondence for meetings
- Assist with creation/modification of presentations, spreadsheets, and other various documents
- Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
- Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
- Helps track the overall team budget
- Orders supplies and process invoices through Procure to Pay system
- Process and follow-up on Virtual Requests
- Inputs quarterly reporting
- Submits documents relating to risk and controls relating to T&E, AB&C, business missions, sponsorships and government meetings
- Assists in ad-hoc reports special projects as needed
- Assists others understand Government Affairs Risk and Control requirements
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

- Previous office administration experience preferably within a large and complex financial services or similar organization
- Highly proficient in Microsoft Office
- Consistently demonstrates clear and concise written and verbal communication skills
- Demonstrated ability to quickly gain command of new systems
- Self-motivated and detail oriented

Education:

- Bachelor's/University degree or equivalent experience
