The Administrative Assistant provides comprehensive administrative and operational support for the daily operations of the International Graduate School (IGS) and Office of Graduate Enrollment, serving as a key resource to leadership, faculty, staff, students, and external constituents. The position helps foster a warm, welcoming environment through exceptional hospitality, professional communication, and strong organizational support. Reporting to the Dean of the International Graduate School and Associate Vice President for Graduate Enrollment, the position supports academic and enrollment operations by coordinating faculty contracts, recruitment and onboarding, syllabi, CVs, textbooks, course schedules, rosters, and Registrar deadlines. The position also assists with orientations, residencies, recruitment and enrollment events, virtual sessions, admissions, advising, communications, and team initiatives, including maintaining enrollment data in Slate. Additional responsibilities include managing calendars and meetings, coordinating office and business operations, supporting purchasing and budget processes, assisting with IT and facilities needs, and generating reports through Workday and Slate

Knowledge equivalent to that gained through a bachelor’s degree and two or more years of office-related experience is preferred. An associate degree from an accredited college or university and proficiency with Microsoft Office, including Word and Excel, and database software are required. Experience coordinating virtual meetings using Microsoft Teams and Zoom is preferred. Strong written and verbal communication, exceptional organization and time management, attention to detail, discretion with confidential student information, and the ability to manage multiple priorities with minimal supervision are essential.
