POSITION SUMMARY
The Clinic Manager will be responsible for ensuring that their assigned clinic location provides the most effective patient care with high levels of organizational efficiency, communication, and safety. In addition, the Clinic Manager will plan and coordinate services and oversee the day to day operations within the health center, including personnel management, providing administrative assistance and support to medical staff to ensure efficient delivery of routine patient care, monitoring patient billing activities, cash management, and assisting with quality improvement and strategic planning.
ESSENTIAL RESPONSIBILITIES:
- Manages day-to-day clinic operations to ensure staff compliance with standards of care, outcome measurements, appropriate billing, and funding source requirements
- Serve as the first line contact for facilities and logistical resource management and information for assigned clinic location(s).
- Organize office operations and procedures to ensure employee compliance with policies and procedures
- Directly supervises both clinical and clerical onsite staff including front desk, clinical support staff, and providers.
- Assist in the hiring, evaluation, development, and when necessary, recommending corrective action for clinic employees.
- Ensure completion of required employee on-boarding and annual trainings (e.g. HIPAA, TB testing, and blood borne pathogens).
- Provides orientation to new clinic staff and provides ongoing training to staff as needed.
- Under the direction of the Director of Operations, ensures proper staffing levels and adequate clinic coverage.
- Serves as liaison with vendors and external customers to facilitate proper lines of communication and expedient problem resolution.
- Implements approved standards and policies with staff and enforces sustainability.
- Oversees the medical billing process of front desk check and ensure personnel are creating and closing batches in a timely manner.
- Ensures front desk personnel collect co-payments and performs sliding fee scale assessments at the point of service.
- Ensures front desk personnel are properly documenting patient insurance and demographic information consistently.
- Acts as a back-up for MAs and front office staff at medical clinic sites as needed especially when short-staffed.
- Acts as liaison for the clinic with the management team assuring compliance with funding sources.
- Report any concerns, ideas for improvement, and facilities or clinic site issues to the Director of Operations and leadership team and assist with remedies as requested.
- Holds daily huddles and monthly staff meetings to assure coordination of services and enforcement of policies and procedures .
- Maintains services referral network and communicates as needed.
- Responsible for aiding in the development of clinic program budgets and monitoring purchase requests.
- Serves on the clinical quality improvement and risk management committees to optimize performance improvement and risk management strategies.
- Communicates readily with supervisor and/or management team on urgent programmatic, agency interpersonal, and significant client information.
- Prepares reports in a timely manner as required by funding sources and as requested by the supervisor.
- Perform all functions and responsibilities in a professional, efficient, and courteous manner, in accordance with the philosophy and standards of the organization with an emphasis on the mission.
- Demonstrate critical thinking and organization skills, leadership and appropriate role modeling for office staff.
Qualifications
QUALIFICATIONS:
- Bachelors degree required in healthcare administration, or public health, or nursing or 5 years medical office experience in lieu of degree.
- 1-2 years management experience in supervising, coaching and mentoring staff.
- FQHC or community health center experience preferred
- Understanding of medical office operations, performance improvement and clinical best practices within primary care including optimization of schedules and workflows.
- Working knowledge of EHR software highly desirable
- Bilingual a plus
