Litigation Legal Assistant - Business and Commercial Litigation

Bell Nunnally, a highly respected business law firm with a record of success spanning over four decades, is seeking an experienced litigation legal assistant. The firm is located in the Arts District of downtown Dallas and offers a full range of legal services such as litigation, commercial finance, bankruptcy, intellectual property, labor and employment, mergers and acquisitions, immigration and real estate. This position will assist assigned attorneys with managing a heavy docket of litigation matters and coordinate related office activities. Work requires knowledge of legal, secretarial, and office practices. Job duties include preparing correspondence, legal documents, and organizing files; assisting assigned attorneys with preparing for meetings, hearings, and trials; scheduling and calendaring; and assisting with monthly client billing and preparing expense reports. Responsible for organizing and maintaining many electronic litigation files and must be comfortable working with litigation pleadings and discovery.

Job Responsibilities

- Calendaring due dates and deadlines, filing and serving documents in both state and federal courts; creating legal documents, opening new matters, and processing various related administrative tasks.

- Perform legal support tasks and collaborate with attorneys, other staff members, and firm functional departments for completion of daily tasks.

- Prepare, edit, and format legal documents such as pleadings, summonses, complaints, motions, subpoenas, and correspondence of a legal nature in the practice of business and commercial litigation matters.

- Maintain assigned attorneys’ calendars, including scheduling appointments and meetings for travel, depositions, meetings, hearings, and trial dates and deadlines.

- Process, organize, and track assigned attorneys’ expense reports, reimbursements, and check requests.

- Open new matters, interface with firm clients and vendors, and establish ongoing positive business relationships.

- Enter attorney billable and nonbillable time on a regular basis and assist with client billing matters.

Minimum Qualifications

- General knowledge of the rules of civil procedure and e-filing in state and federal courts in Texas; federal and state appellate experience helpful but not required.

- Perform work with a high level of accuracy in a high-volume and deadline driven environment.

- Accurate typing of 80+ wpm and excellent computer skills, including scanning and electronic filing of documents.

- Ability to be a productive self-starter who can anticipate needs, identify problems, find solutions, meet deadlines, and does not need heavy supervision.

- Excellent organization, time management, and communication skills.

- Regular and consistent attendance and the ability to work a regular 8-hour work schedule Monday through Friday (plus 1-hour unpaid lunch break) are required.

- Ability to work overtime earlier morning, evenings and/or weekends as needed on occasion to meet workload demands.

- Ability to use MS Word, Excel, Outlook, Acrobat, and a document management system, i.e. iManage, proficiently is essential; ability to create tables of authorities using Best Authority ideal but not required.

Physical Demands and Working Environment

- Work is performed in an office environment and involves everyday risks or discomforts, requiring normal safety precautions when performing work. Work requires frequent walking, standing, bending, and carrying items up to 10 pounds.

- Regular, predictable, and punctual attendance is required for performance of duties.

- Work requires physical presence in the office with the option for one remote workday per week.

- Work hours are Monday through Friday 9am to 6pm (with some flexibility) with a one-hour unpaid lunch break each workday.
