Position Overview

The Pre-Development Specialist manages foundational workflow execution, project tracking, and cross-functional coordination across the early stages of the store development lifecycle. The Pre-Development Specialist I will serve as primary operational liaison between Real Estate, Legal, Construction, and other cross-functional teams. The Specialist is responsible for maintaining project milestones, identifying potential schedule risks, managing workflows, and providing analytical support for reporting under the guidance and general oversight of the department leadership.

Key Result Areas

Drive Pre-Development workflows and development lifecycle execution:

- Maintain accurate project information, documentation, records, and updates within project management systems

- Schedule meetings, capture notes, and track action items with internal teams and external partners

- Manage and track key milestones, deliverables, and documentation for assigned store development projects

- Facilitate communication and coordination between Real Estate, Legal, Construction, and other cross-functional teams

- Assist with preparing project materials, correspondence, and administrative tasks to support team objectives

- Organize and prioritize tasks to help meet project timelines and department goals

Execute Pre-Development Reporting and Process Improvements:

- Manage project tracking tools, financial reports, and budget compilation under the guidance of Pre-Development leadership

- Compile and draft project updates, growth reports, and presentations for leadership and stakeholder review

- Execute administrative workflows and departmental assignments to streamline operations and meet team goals

- Support the ongoing improvement of processes, documentation, and team resources

- Coordinate cross-functional meetings, agenda planning, and communication channels across internal teams

- Facilitate information sharing by providing accurate project documentation and status updates to internal partners

- Support onboarding and knowledge transfer for new team members

- Promote positive collaboration and strong relationships across Pre-Development and cross-functional departments

- Deliver flexible administrative and operational support to the Pre-Development team during peak workload periods

Oversee Department Inbox Management & Cross-Functional Communication:

- Serva as primary point of contact for department inquiries, triaging critical request and routing working streams to maximize efficiency

- Create and prepare written and verbal project correspondence as needed

- Facilitate project planning and permitting by maintaining audit-ready documentation and communicating real time updates

- Ownership of internal tracking tools to track progress of new shop completion and project milestones

- Partner with the Finance team to research invoice-related questions and support project-related financial processes

- Assist with processing payments to landlords or developers for new projects as needed

Job Qualifications

- Bachelor’s degree in Business Administration, Project Management, or a related field with 2+ years of project coordination/administration experience, or 6+ years of equivalent professional experience required.

- Ability to support project coordination efforts, maintain documentation, and assist with tracking timelines, deliverables, and workflows

- Proficient in Microsoft Office Suite, particularly Excel, Word, and cloud-based project management tools (e.g., Smartsheet and Lucernex)

- Strong written and verbal communication skills with the confidence to drive accountability across internal teams and external partners

- Ability to work effectively in a team environment while also managing assigned tasks independently

- Strong organizational skills and attention to detail with the ability to manage multiple priorities

- Ability to work in a fast-paced environment and adapt to changing priorities

- Ability to learn new processes, systems, and software efficiently

- Strong follow-through and initiative with the ability to proactively identify next steps and support team needs

- Ability to prioritize daily tasks and maintain accurate records to support Pre-Development activities

Location Requirement:

This role is located in Tempe, AZ. This position is required to be in office 4 days per week (Mon-Thurs); Fridays are optional remote work days.

Physical Requirements

- In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions

- Must be able to collaborate in-person with occasional impromptu in-person meetings

- Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels

- Mobility : Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches.  Must be able to occasionally move or lift office items up to 25 pounds

- Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed.

- Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively.

- Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed.

- Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.

- Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.
