Ankura Business Services Overview:
The goal of ABS is to provide support and assistance to Ankura’s client facing business groups. Role Overview:
The Facilities Operations Senior Associate is responsible for ensuring the offices are properly prepared for employees, clients, and customers, while maintaining exceptional customer service, performing hands-on support as needed; office upkeep and equipment maintenance in support of Ankura’s operational goals and objectives. This role is based in Chicago, IL and requires being onsite 5 days a week.
Responsibilities:
- Logging and reporting all maintenance/technical faults to building management or engineers.
- Oversee day-to-day operations of the office.
- Ensure Health and Safety management and the provisions of a safe working environment.
- Manage employee onboarding and offboarding. office seating assignments, based on level protocol
- controlling security access cards
- equipment retrieval
- Reconcile monthly approved invoices.
- Liaison with IT to provide user, and conference room setup/technical support.
- Coordinate catering orders for in-house client and staff meetings.
- Restock kitchens daily on all floors with beverages, snacks and pantry supplies.
- Restock/clean workrooms and copiers on all floors as needed.
- Monitor and maintain stock levels, and place weekly supply orders or on as needed basis.
- Receive incoming office supply orders and distribute to floors.
- Responsible for all mailroom operations, including shipping, receiving, and delivery of all packages and mail to include USPS, Fed Ex, DHL, etc.
- Monitor all shred bins for capacity.
- Liaison with Shred-It vendor for document destruction pick-up.
- Office porterage as required including, office moves, furniture moves, deliveries and collections.
- Point of contact for security, after hours and property emergencies.
- Liaison with Director or Resource Manager to ensure smooth operations of the business.
- Other duties as assigned by Director or Resource Manager.
Requirements:
- Bachelors Degree or Associates degree is preferred but open to equivalent experience
- 3+ years related to facilities/office management
- Experience in a mail room/facilities environment
- Business professional demeanor
- Familiar with Microsoft Office software, i.e., Word, Excel, Outlook
For individuals assigned and/or hired to work in California, Colorado, New York or other states with relevant pay transparency laws, Ankura is required to include a reasonable estimate of the compensation range for this role. This compensation range is specific to the said markets and considers a broad range of factors including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. The range does not include additional benefits outside of salary. At Ankura, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each role. A reasonable estimate of the current base pay range is between $60,000 to $80,000; this range is not a promise of a particular wage.
