Job Description

Position Summary

The ACM Project Coordinator (PC) serves as the administrative and documentation leader supporting project execution from startup through closeout. The Project Coordinator is responsible for maintaining project records, managing document workflows, coordinating communications, supporting field operations, tracking project information, and ensuring accurate project documentation throughout the project lifecycle.

The Project Coordinator works closely with Project Managers, Assistant Project Managers, Superintendents, Accounting, Owners, Architects, Engineers, Subcontractors, and Vendors to support efficient project execution through organized information management, responsive communication, and proactive coordination.

- Core Project Coordination & Task Management
- Primary Responsibilities
- Complete assigned project coordination tasks accurately and on schedule.
- Manage project workflow activities and administrative support functions.
- Support project startup, mobilization, and administrative readiness activities.
- Assist project teams with information requests and coordination needs.
- Prioritize tasks effectively across multiple projects and deadlines.
- Anticipate project documentation needs and proactively support project teams.
- Demonstrate growing understanding of construction workflows and project delivery processes.

- Project Documentation, Document Control & Compliance
- Primary Responsibilities
- Maintain project files, records, logs, drawings, specifications, contracts, and correspondence.
- Ensure proper document control, version management, and document distribution.
- Process, track, and maintain RFIs, Submittals, Change Orders, and project logs.
- Maintain audit-ready project documentation.
- Support project startup and closeout documentation requirements.
- Track punch list documentation and project completion records.
- Ensure compliance with company standards, contract requirements, and owner expectations.

- Communication, Meetings & Information Flow
- Primary Responsibilities
- Coordinate project meetings, schedules, agendas, and supporting materials.
- Prepare and distribute meeting minutes, action items, and follow-up communications.
- Facilitate information flow between project teams, subcontractors, consultants, and clients.
- Respond promptly to project-related communications and requests.
- Assist with coordination of project correspondence and notifications.
- Support clear communication across office and field teams.
- Ensure critical project information is communicated to appropriate stakeholders.

- Primary Responsibilities
- Support field personnel through distribution of project information and documentation.

- Maintain safety-related documentation and compliance records.
- Assist with project closeout activities including punch lists, turnover documentation, warranties, and final deliverables.
- Coordinate collection of required subcontractor closeout documents.
- Support project readiness for inspections and turnover activities.
- Assist with field-generated administrative requests.

- Schedule, Cost Tracking & Reporting Support

- Assist with maintaining cost logs and project financial documentation.
- Track project status information and support reporting requirements.
- Maintain documentation supporting budget tracking and cost management.
- Assist Project Managers with project reporting and forecasting information.
- Support project progress tracking and status reporting.
