Job Summary

The Flight Coordinator is responsible for scheduling, coordinating, documenting, and arranging all domestic and international flights on company-owned, leased, and chartered aircraft. Arranges all travel needs for all passengers and flight crews including ground transportation and hotel accommodations. Manages all personal travel documentation for executives to meet FAA, IRS and SEC requirements. Support Duke Energy Board of Directors with special travel needs and requirements, as required. Works with flight crew to communicate flight arrangements and manage communications on behalf of Corporate Aviation with executives and executive assistants, security and support services. Maintain flight records in accordance with Corporate Aviation policies, IRS, SEC, and FAA requirements. Maintains confidentiality of executive schedules and plans.

Responsibilities

- Arranges, coordinates and schedules all domestic and international flights for Duke Energy Executives and Board Members as required.
- Coordinates with the Managing Director Aviation Services to clarify trip plans, schedules and requirements.
- Obtains required approvals for all flights.
- Coordinates with outside suppliers, FBO’s and Charter Companies that provide support to the Aviation Department.
- Works with handlers in support of international travel;
- Interfaces with corporate security in support of executives’ flight plans and schedules.
- Maintains current knowledge of FAA regulations and ATC procedures.
- Act in the capacity of authorized travel agent.
- Book, coordinate and confirm ground transportation, hotel rooms, rental cars and connecting commercial flights as required for executives, directors and flight crews
- Manages personal travel for executives to meet the requirements of the FAA, IRS and SEC.
- Communicates confirmation of trip details to all passengers and crews.
- Handle special requests from executives for travel cost quotes, bookings, vehicle delivery and accounting reconciliation.

Basic/Required Qualifications

- Bachelors degree
- In lieu of Bachelors degree(s) listed above, High School/GED AND 5 year(s) related work experience

Desired Qualifications

- Excellent customer service and communication skills in dealing with top corporate officers and directors
- Attention to detail
- Familiarity with FAA and NTSB Documenting and reporting criteria
- Demonstrated ability, under stressful conditions, to multitask and prioritize work.
- Demonstrated ability to work with sensitive and confidential information and maintain confidentiality
- Previous experience as an aviation dispatcher
- Preferred: 2-4 years of experience

Working Conditions

- Hybrid Mobility Classification – Work will be performed from both remote and onsite locations after the onboarding period. However, hybrid employees must live within a reasonable commute to their designated Duke Energy facility, not greater than 50 miles one way. Employees are expected to report to their assigned Duke Energy facility as required and directed by their manager, on average 3 full workdays per regular workweek.
- Primarily at office in aviation facility, some work on weekends and holidays as necessary.
- Duty may include any time of day or night as required.
- May be required to be on standby status if not on official vacation.
