Job Title:
Clinical Documentation Scribe
Job Description:
Our Mission
The Family Counseling Center of Central Georgia strives to preserve and strengthen the well-being of individuals, couples, and families by providing easy, affordable access to professional counseling services.
Who We Are
The Family Counseling Center of Central Georgia is a private, nonprofit behavioral health organization established in 1957 by the Junior League of Macon and United Way of Central Georgia. For nearly seven decades, FCC has helped children, adults, and families navigate trauma, grief, crisis, and life's most difficult challenges through professional, trauma-informed mental health counseling and supportive services.
FCC is committed to reducing health disparities by ensuring that quality mental health care is available to everyone, regardless of income, insurance status, or ability to pay. Through counseling, case management, and strong community partnerships, FCC connects individuals and families with mental health services and essential resources that promote healing, stability, resilience, and overall well-being.
Position Summary
The Clinical Documentation Scribe supports FCC therapists by typing clinical documentation from the therapist's verbal dictation and direction. The scribe will work side-by-side with an assigned therapist to support accurate, timely documentation in TherapyNotes. The therapist remains fully responsible for all clinical content, accuracy, review, approval, and finalization of each note.
This is a Mercer University Federal Work-Study position and is 100% on-site at FCC's Macon office. No remote work is available.
Primary Responsibilities
· Type clinical notes accurately from therapist dictation.
· Enter dictated documentation into TherapyNotes using FCC-required formats.
· Ask the therapist for clarification when information is unclear rather than making assumptions.
· Make corrections and revisions promptly as directed by the therapist.
· Track assigned, completed, and pending documentation and help maintain an efficient workflow.
· Return documentation to the therapist for final review, approval, and signature.
· Maintain strict confidentiality and comply with all FCC HIPAA, privacy, technology, and record-security requirements.
· Complete assigned work accurately and efficiently within established deadlines.
· Maintain consistent attendance, punctuality, and follow-through.
Required Qualifications
· Current Mercer University student eligible for the Federal Work-Study Program.
· Minimum typing speed of 60 words per minute; 70+ WPM preferred.
· Typing accuracy of 95% or higher.
· Applicants must complete a 3- or 5-minute typing test at TypingTest.com and provide a screenshot showing WPM and accuracy.
· Strong spelling, grammar, punctuation, listening, and proofreading skills.
· Excellent attention to detail and ability to work efficiently without sacrificing accuracy.
· Ability to follow instructions precisely, accept feedback, and make corrections promptly.
· Ability to maintain strict confidentiality and professional boundaries.
· Reliable transportation to and from FCC's Macon office.
· Ability to work 100% on-site during scheduled hours.
· Consistent reliability, punctuality, and follow-through.
What You Will Gain
This position offers a unique opportunity for a Mercer student interested in psychology, social work, counseling, healthcare, pre-professional studies, or nonprofit work to gain direct exposure to the behavioral health field while developing practical professional skills.
· Learn how a nonprofit behavioral health organization operates and how therapists manage clinical documentation.
· Gain familiarity with common therapy terminology, documentation standards, and the structure of progress notes.
· Learn how clinical notes support continuity of care, accountability, and ethical practice.
· Develop experience using TherapyNotes, an electronic health record system used in behavioral health settings.
· Strengthen professional skills in transcription, listening, organization, confidentiality, accuracy, and time management.
· Gain exposure to multiple mental health disciplines and the day-to-day work of a clinical team.
· Build experience that may be especially valuable for students considering graduate school or careers in counseling, psychology, social work, healthcare, or human services.
Confidentiality & Scope of Role
The scribe will have access to protected health information and sensitive client records. Before accessing records, the student must complete required FCC HIPAA, confidentiality, privacy, and security training and sign all required agreements. Client information may only be accessed and used for assigned FCC duties and may not be photographed, copied, downloaded, emailed, texted, printed, removed, or discussed outside authorized FCC work activities.
This is a documentation-support role, not a clinical role. The scribe may not diagnose clients, develop treatment plans, determine interventions, independently summarize or interpret sessions, add information not provided by the therapist, alter clinical meaning, sign or finalize documentation, or provide counseling or clinical guidance.
Reliability & Performance Expectations
Because this position directly supports required clinical documentation, reliability is essential. The student is expected to arrive on time, maintain the agreed-upon work schedule, complete assigned
documentation within established timeframes, communicate promptly about barriers or absences, and consistently meet standards for accuracy, productivity, confidentiality, and follow-through.
Preferred Qualifications
· Interest in psychology, counseling, social work, healthcare, human services, or nonprofit work.
· Previous transcription, administrative, medical, behavioral health, or data-entry experience.
· Familiarity with electronic health records; TherapyNotes experience is a plus.
· Comfort working closely with another professional and hearing sensitive information while maintaining discretion and professionalism.
Work Schedule
· 100% on-site at FCC's Macon office; no remote work.
· Schedule established in coordination with FCC, the assigned therapist, and Mercer Work-Study requirements.
· Reliable transportation is required
