Job Summary

The Administrative Manager will be responsible for developing, organizing, and staffing the administrative services of the department. Directs and supervises administrative functions of registration and billing. Responsible for all aspects of reimbursement, participates in Department Performance improvement activities and maintains PI record as appropriate. Participates in IT planning and implements components as delegated. May assume the duties of Administrative Director during absence.

Participates in Department Performance Improvement activities. Responsible for the quality of work performed by staff assigned.  Responsible for the performance improvement activities of the administrative section.

Reviews and ensures an orderly and up-to-date administrative and employee records for the section

Responsible for formulating, revising and implementing administrative and personnel policies and procedures for areas of responsibility.

Responsible for the preparation and control of the budgets and inventories for assigned areas of responsibility.  Implements annual budgets. Maintains weekly expense reports and monthly budget reports. Investigates and rectifies budget variances as required. Ascertains funds for service contracts are budgeted for.  Insures that all contracts are adhered to appropriately.

Directs, supervises and coordinates the day-to-day administrative functions of the department, including patient scheduling, patient registration, and patient billing.  Maintains charge masters. Responsible for the planning and development of registration, scheduling and billing functions within the department

Develops and updates job descriptions and employee performance evaluations Responsible for interviewing and hiring new employees. Coordinates scheduling of hours and work assignments for departmental personnel. Responsible for ensuring orientation and in-service of newly assigned administrative staff.

Monitors management reports and takes corrective action as indicated. Submits monthly reports of activities of section.  Meets with Administrative Director on a regular basis.

Interprets hospital policies, objectives and operational procedures to clerical staff. Resolves problems concerning such items as staffing, utilization of facilities, equipment and supplies within the department.  Responsible for the maintenance and repair of all non-patient care-related equipment within the department.

In supervisory capacity, is responsible for counseling of employees concerning departmental and hospital procedures or personnel problems affecting work performances.  Implements disciplinary measures when necessary.  Anticipates and solves problems as they arise. Conducts monthly staff meetings.  Assumes the duties of the Administrative Director during his/her absence.

Responsible for public and patient relations with areas assigned. Plans and maintains a clean, orderly, safe environment for patients, visitors and staff.

Establish appropriate relationships with all departments of the hospital.  Establishes and maintains effective working relationships with medical and administrative staff members.  Consults with the Executive Director, Medical Director and Clinical Coordinator on a regular basis concerning administrative policies and procedures.

REQUIREMENTS

- Bachelors’ degree in Business Administration, Hospital Administration or Management is required.
- Management and administrative experience in a healthcare setting or service organization is required.
- Knowledge of Grady registrations, billing and information system is a plus.
