Job Description
Position Title: Medical Assistant (MA)
Location: Improve Health Clinics – Tulsa, Oklahoma
FLSA Status: Non-Exempt
Reports To: Advanced Practice Registered Nurse (APRN); provides administrative support to the Operations Director as assigned
Position Summary
Improve Health Clinics (IHC) is seeking a compassionate, organized, and service-oriented Medical Assistant to support the daily clinical and administrative operations of the Tulsa IHC location. In addition to supporting patient care, this position will provide clerical and operational assistance to the Operations Director, who is based in Tulsa, and may support other IHC clinic locations with supplies, inventory, and related operational tasks.
Working under the direction of the clinic's APRN for clinical activities and in coordination with the Operations Director for assigned administrative and operational activities, the Medical Assistant plays a key role in delivering an exceptional patient experience, maintaining efficient clinic operations, and supporting IHC's broader multi-location clinic network. Responsibilities include preparing patients for examinations, assisting with clinical procedures, coordinating administrative activities, and helping ensure clinics have the supplies and resources needed for effective operations.
This position requires a self-motivated, adaptable individual who can balance patient-care responsibilities with clerical and operational support, work effectively with multiple IHC team members and locations, and maintain the highest standards of professionalism, confidentiality, service, and follow-through.
Essential Responsibilities
Clinical Responsibilities
- Welcome patients and provide a professional, friendly experience from arrival through checkout.
- Escort patients to examination rooms and prepare them for provider evaluation.
- Obtain and accurately document: Vital signs
- Height and weight
- Medical history updates
- Current medications
- Allergies
- Chief complaint
- Prepare examination rooms and maintain appropriate supplies.
- Assist the APRN during examinations and minor procedures.
- Perform point-of-care testing.
- Collect laboratory specimens and prepare them for transport.
- Administer injections, immunizations, and medications as delegated and permitted by state law.
- Perform EKGs, spirometry, hearing tests, vision screening, and other diagnostic testing as appropriate.
- Conduct medication inventory and maintain proper storage of medications and vaccines.
- Maintain infection control and sterilization procedures.
- Clean and prepare patient care areas throughout the day.
Administrative Responsibilities
- Schedule patient appointments.
- Answer clinic telephone calls and respond appropriately.
- Register patients and verify eligibility.
- Maintain accurate electronic medical records (EMR).
- Process referrals, laboratory orders, and diagnostic testing.
- Coordinate follow-up appointments and patient communications.
- Monitor and replenish clinic supplies.
- Assist with inventory management and ordering.
- Prepare daily clinic reports as requested.
Operational & Multi-Clinic Support
- Provide clerical and administrative support to the Operations Director as assigned.
- Assist with preparation of reports, correspondence, forms, spreadsheets, meeting materials, and other routine administrative documents.
- Help coordinate supply ordering, inventory tracking, replenishment, and distribution for the Tulsa clinic and other IHC locations.
- Communicate with other IHC clinic locations regarding supply needs, inventory levels, deliveries, and related operational matters.
- Assist with maintaining organized records of clinic supplies, equipment, vendors, and operational requests.
- Help coordinate shipments, transfers, and receipt of supplies and materials between IHC locations as needed.
- Support special projects and other clinic or operational tasks assigned by the Operations Director or IHC leadership.
- Maintain appropriate separation and confidentiality of clinical information and general administrative or operational information.
Population Health & Preventive Care
- Support employee wellness initiatives.
- Assist with preventive health screenings.
- Help coordinate annual wellness visits.
- Contact patients regarding overdue preventive services.
- Reinforce provider education and treatment plans.
- Encourage medication compliance and healthy lifestyle practices.
Customer Service Responsibilities
The Medical Assistant serves as an ambassador for Improve Health Clinics by:

- Adhere to all Improve Health Clinics policies and procedures.
- Maintain current certifications and competencies.

- Report safety concerns promptly.
Qualifications
Required
- High school diploma or GED.
- Graduate of an accredited Medical Assistant program or equivalent military training.
- Experience with electronic medical records.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality.
Preferred
- Current Medical Assistant certification (CMA, RMA, NCMA, CCMA, or equivalent) preferred or required according to state regulations.
- Current CPR/BLS certification.
- Two or more years of experience in at least one of the following areas: Primary care
- Family medicine
- Occupational health
- Employer-sponsored health clinics
- Experience performing laboratory testing and immunizations.
- Experience working independently in a small clinic environment.

Physical Requirements

- Visual acuity necessary for clinical documentation and specimen handling.
Work Environment
This position is based at the Improve Health Clinics location in Tulsa, Oklahoma. The environment combines direct patient care with administrative and operational support responsibilities. Because the Operations Director is also based in Tulsa, the Medical Assistant may assist with clerical duties, clinic coordination, supply and inventory activities, and other operational needs affecting Tulsa and other IHC locations. The role requires flexibility, collaboration, sound judgment, and the ability to shift priorities as clinic and organizational needs change.
