Job Description

We have an opening for an Executive Assistant supporting the California Team within the Office of Government and External Affairs (OGEA). OGEA develops and maintains relationships with Federal, State, regional, and local government stakeholders, as well as nongovernment organizations involved in issues of interest to the Laboratory community—including leading all Laboratory communications with the U.S. Congress and the California State Legislature.

In this role, you will provide a full range of advanced, diverse, and complex executive assistant services in a fast‑paced environment. You will serve as a point‑of‑contact and trusted partner for senior leadership and interface with senior‑level internal and external personnel to exchange, gather, and disseminate information.

This position offers a hybrid schedule, blending in-person and virtual presence. You will have the flexibility to work from home one or more days per week.

You will:

- Represent senior managers in daily interactions across the office, Laboratory leadership, sponsor offices in the Federal Government, the U.S. Congress, the State of California, local agencies, and external partners; collaborate with executive assistant counterparts across OGEA and the Director’s Office.
- Independently set priorities when committing the managers’ time, anticipating needs, and organizing and coordinating complex, high‑level, and often confidential calendars.
- Clarify, compile, coordinate, communicate, and disseminate information on behalf of senior management; compile, proof, format, edit, and finalize sensitive or privileged documents, correspondence, and reports; and manage confidential files in accordance with Laboratory guidelines.
- Plan and coordinate internal and external meetings and events; develop agendas, identify and coordinate with attendees.
- Serve as an integral member of the team, supporting a broad and evolving portfolio of activities. Responsibilities will adapt in response to emerging team priorities, requiring initiative and flexibility as new needs and opportunities arise.
- Arrange complex domestic travel; adjust itineraries as priorities evolve; prepare expense reports and related documentation.
- Conduct research, gather information, and coordinate input on a variety of business, operational, and administrative topics.
- Participate in and/or lead administrative projects, working closely with Executive Assistants and administrative staff across OGEA and the Laboratory.
- Perform other duties as assigned.

Qualifications

- An active Department of Energy (DOE) Q‑level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
- Advanced experience providing executive assistant support to senior management/executives and representing them with diverse internal and external contacts.
- Advanced experience identifying and implementing technology solutions to automate administrative processes using a variety of software tools and databases; expert use of MS Office applications, including developing complex reports and presentations.
- Advanced experience coordinating and leading administrative projects, with strong analytical, problem‑solving, and decision‑making skills.
- Advanced organizational skills with high accuracy, attention to detail, reliability, and follow‑through.
- Ability to prioritize multiple complex tasks in an environment of rapidly changing priorities, short deadlines, and frequent interruptions.
- Advanced communication skills to effectively interact with and represent senior management to all levels of internal and external stakeholders.
- Demonstrated self‑motivation, flexibility, discretion, and mature judgment in handling sensitive and/or classified information.
- Demonstrated effectiveness in team environments, supporting collaboration and shared organizational goals.

Qualifications We Desire

- Broad and in‑depth knowledge of Laboratory business, operations, and program/discipline organizations; familiarity with external organizations at the local, State, and national levels.
- Broad and in‑depth knowledge of Federal and State government organizations and agencies, as well as the U.S. Congress.
- Familiarity with Laboratory policies and procedures.

Pay Range

$94,560 - $115,728 Annually

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage.  An employee’s position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.

Security Clearance

Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
