Job Purpose:

The Order Management Specialist is responsible for the efficient execution of the end-to-end order management process, ensuring customer orders are processed accurately, delivered on time, and supported with exceptional service. The role works closely with customers and cross-functional teams to enhance operational performance, customer satisfaction, and overall business effectiveness. In addition, the position supports office administration activities to ensure a safe, professional, and well-organized workplace environment.

Key Responsibilities:

- Process customer purchase orders in SAP and realted systems

- Creating quotations in SAP

- Review and validate order details including pricing, lead times, and product availability.

- Provide intercompany pricing and order support to internal stakeholders.

- Process customer credits and returns

- Coordinate with production, logistics, and supply chain teams to ensure timely delivery.

- Proactively communicate order status, delays, or changes to customers.

- Maintain accurate records of orders, shipments, and customer interactions.

- Support invoicing and resolve discrepancies related to orders or deliveries.

- Contribute to continuous improvement initiatives related to order processing.

- Ensure compliance with company policies and trade regulations.

- Support the day-to-day operation of the office, ensuring a professional and welcoming environment.

- Coordinate visitor management and reception requirements.

- Maintain stationery, office supplies, warehouse consumables, and kitchen supplies.

- Organize team and company events, including catering and logistics.

Qualifications & Skills:

- Certificate or diploma in Business Administration, Supply Chain, or related field.

- Minimum 2 years' experience in order management, customer service, sales support, logistics, or a similar operational role.

- Proficiency in SAP systems (S/4 HANA) and Microsoft Office Suite.

- Strong attention to detail and organizational skills.

- Excellent communication and problem-solving abilities.

- Ability to work collaboratively in a fast-paced environment.
