Job Summary:

This position partners with the CEO & CSO as the Health System strives for optimal business performance, operational
efficiency & customer service excellence. Management and communication skills related to identifying financial
resources to meet operational needs & goals for expansion are critical components. This position serves as an
administrative Liaison to Executive, Finance, HR, Legal, and IT teams & must exert exceptional interpersonal skills & high
levels of influence to navigate an evolving Health System. This position serves as an administrative Liaison to all Health
System Boards.

Core Responsibilities and Essential Functions:

Manage and assist with preparing all AU Health System Board of Directors and committee meetings and all
associated activities to ensure smooth operations. Coordinate & streamline all Committee Meetings. Serve
as main point of contact for all issues or inquiries regarding board meetings. Assist with preparing material
and presentations and obtaining timely & proper review from legal, CEO, etc. Adhere to compliance with
applicable rules and regulations set in bylaws regarding board and committees.
Serve as administrative/operations lead for other Executive Assistants in the organization. Maintain time
net and ensure schedule alignment with other executive assistants in the executive suite. Manage sensitive
matters with a high level of confidentiality and discretion. Collaborates with Health System Finance,
Purchasing and Legal departments to communicate out and ensure compliance with new policies specific to
expense/reimbursement billing and vendor alignment.
Assists Health System CEO in job description creation, recruitment and on boarding for new hires.
Coordinates all EIF's and collaborates with Health System departments to ensure proper budgeting is
identified.
Coordinates and maintains calendar for CEO and other executive leaders tightly, looking ahead and
anticipating events requiring presence and participation. Prioritizes requests of meetings and determines
schedule. Confirms all scheduled meetings in sufficient time to ensure minimal last-minute changes.
Compiles necessary documents for CEO and other executive leaders to be prepared for meetings. Assists in
arranging logistics, ordering necessary materials, and preparing the room for meetings.
Secures travel plans, initiates travel requests, develops travel itineraries, and composes and submits travel
expense reports to ensure timely reimbursement. Manages invoices and initiates check requests for various
expenses. Ensures timely submission of various financial reports, personnel evaluations, etc. for CEO or
other executive leaders and their direct reports. Maintains and organizes associated departmental
personnel records.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.

Required Minimum Education:

- Bachelors General or Masters General-Preferred

Required Minimum License(s) and Certification(s):

All certifications are required upon hire unless otherwise stated.

Additional License(s) and Certification(s):

Certified Administration Professional Upon Hire Preferred or
Microsoft Office Specialist Master Certification Upon Hire Preferred

Required Minimum Experience:

Minimum 8 years an administrative support role in a healthcare setting. Required or
Minimum 10 years a similar role supporting C-Level Executives at an academic Medical Center Preferred
