Job Purpose:
The Museum Retail Store Operations Assistant supports the efficient daily operation of the Museum Store by coordinating inventory processes, merchandise receiving, stock organization, administrative documentation, and sales-floor support. This position helps maintain accurate inventory records, organized storage areas, timely merchandise flow, and consistent operational standards while contributing to a welcoming visitor and member experience.
Essential Duties and Responsibilities: Responsibilities include, but are not limited to:
- Receive, unpack, verify, and process incoming merchandise shipments against purchase orders and packing documentation.
- Enter and maintain accurate merchandise, vendor, cost, price, and inventory information in the point-of-sale and inventory management systems.
- Price, tag, label, prepare, and organize merchandise for the sales floor, stockrooms, exhibitions, programs, and special events.
- Maintain clean, orderly, safe, and efficient stockrooms and storage areas, including the off-site storage location.
- Replenish sales-floor merchandise and communicate low-stock, out-of-stock, and reorder needs to retail management.
- Process and document merchandise transfers among the sales floor, back-stock rooms, off-site storage, and event locations.
- Support cycle counts, inventory audits, annual physical inventory, discrepancy research, and inventory reconciliation.
- Document and report shortages, overages, damages, defects, returns, and other inventory variances.
- Maintain organized records for purchase orders, invoices, packing slips, receiving logs, transfers, vendor correspondence, consignment activity, and related operational documentation.
- Assist with exhibition catalog receiving, movement, replenishment, and inventory tracking.
- Monitor store supplies and communicate ordering needs to management.
- Prepare routine spreadsheets and operational reports using Microsoft Office and approved business systems.
- Support merchandising installations, seasonal transitions, product launches, promotions, and special retail initiatives.
- Provide sales-floor and point-of-sale support during peak visitation, staff coverage needs, member programs, exhibition openings, and Museum events.
- Provide professional, knowledgeable, and courteous service to visitors, members, donors, Museum staff, vendors, and artists.
- Follow Museum policies, safety practices, cash-handling procedures, loss-prevention standards, and established Store procedures.
- Collaborate with the Director of Retail Operations, Store Manager, Store staff, and other Museum departments to support business and visitor-service priorities.
Qualifications:
- Two years of experience in retail operations, inventory control, receiving stockroom operations, merchandising support, or administrative support preferred.
- Experience with point-of-sale and inventory management systems preferred.
- Intermediate proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Strong organizational, recordkeeping, time-management, and problem-solving skills with exceptional attention to detail.
- Ability to accurately handle merchandise, inventory data, invoices, purchase orders, and related documentation.
- Ability to prioritize multiple assignments and work efficiently in a fast-paced, visitor-facing environment.
- Strong written and verbal communication skills and the ability to work collaboratively across departments.
- Ability to work independently, take initiative, and follow established procedures.
- Experience in museum retail, specialty retail, ecommerce fulfillment, or a cultural institution preferred.
- Flexible availability, including weekends, holidays, evenings, annual inventory, and special events, as business needs require.
- Bilingual language skills are a plus.
Physical Requirements:
- The person in this position must be able to move about the sales floor, stockrooms, office areas, loading and receiving areas, and off-site storage; frequently communicate with managers, employees, vendors, and visitors; access and operate computers, scanners, printers, point-of-sale equipment, and other office or retail equipment; and regularly stand, walk, bend, reach, climb, and perform repetitive inventory tasks.
- The person in this position must be able to lift, move, push, pull, or carry merchandise and supply cartons weighing up to forty (40) pounds, with or without reasonable accommodation.
Hours & Compensation :
- Variable schedule, day shift, weekends and evenings as needed
- Part-time, Non-exempt
- Compensation: Commensurate with experience
Location Requirements:
At the time of employment, employees are expected to be located within reasonable commuting distance of the museum. Commuting Distance means they are located in South Florida, and able to commute to and from the Museum in a single day.
