We are searching for the best talent for Bids and Tender Senior Specialist, EP MEA.

Purpose:

The Bids and Tender Specialist, EP MEA supports the end-to-end bids and tender management process across the Electrophysiology business in MEA, ensuring timely, compliant, accurate, and competitive submissions that support business growth and mitigate risk. This role manages tender execution in close collaboration with Sales, Marketing, Supply Chain, Finance, Legal, Compliance, Regulatory, and other business functions.

The Bids and Tender Specialist contributes to effective tender evaluation, submission, award management, and post-award activities, while supporting the Bids and Tendering Leader in improving tools, governance, reporting, and process discipline across EP MEA.

The role requires strong stakeholder engagement, rigorous attention to compliance standards, commercial acumen, and a continuous improvement mindset to help advance bids and tendering excellence across EP MEA.

You will be responsible for:

Tender Management

- Coordinate and manage the full bids and tender lifecycle, including pre-tender, quotation, submission, award, and post-award stages, across EP MEA.
- Manage tender sourcing, application, documentation, and submission processes to ensure timely, high-quality, compliant, and competitive EP bids.
- Review tender requirements, evaluation criteria, technical specifications, commercial terms, and submission checklists to ensure completeness and accuracy.
- Analyze tender outcomes through win/loss reviews, pricing simulations, competitor insights, and debriefs to support future EP bid strategy.
- Maintain bids and tender databases, trackers, and central platforms to ensure data quality, visibility, and reliable reporting across EP MEA.

Compliance & Risk Management

- Review legal, commercial, technical, and operational aspects of tender documents and escalate risks for timely resolution.
- Ensure tender activities comply with customer requirements, corporate policies, SOPs, approval matrices, and SOX control requirements.
- Support creation, maintenance, and revision of SOPs, work instructions, and process documentation aligned with best practices and regulatory expectations.

Collaboration & Stakeholder Engagement

- Collaborate proactively with EP Sales, Marketing, Supply Chain, Finance, Regulatory, Legal, Compliance, and other functions to secure complete and value-added submissions.
- Manage day-to-day interactions with internal stakeholders, distributors, and relevant customer interfaces, keeping stakeholders informed of key bid and tender updates, risks, and required actions.
- Support and facilitate pre- and post-tender meetings to align on requirements, strategy, timelines, outcomes, and lessons learned.

Capability Building & Knowledge Sharing

- Act as a subject matter expert for EP bids and tender processes, tools, documentation standards, and compliance requirements.
- Provide guidance and training to commercial and non-commercial teams on bids and tender processes, documentation, systems, and governance requirements.
- Contribute to a culture of excellence, accuracy, accountability, and continuous improvement in tender management practices.

Performance Tracking & Continuous Improvement

- Prepare and share regular bids and tender performance metrics, dashboards, and reports with the Bids and Tendering Leader and relevant stakeholders.
- Support maintenance and enhancement of bids and tender tools, including quotation tools, tender dashboards, tender calendars, and tender trackers.
- Collect and analyze historical EP tender and competitor data to strengthen future submissions.
- Support implementation of Bids and Tendering Excellence initiatives for EP MEA and deliver assigned activities within agreed timelines.
- Identify and propose process improvement opportunities to strengthen tender quality, cycle time, compliance, and stakeholder experience.

Main performance measure s:

- On-time, accurate, and compliant tender submissions
- Quality of bid/no-bid recommendations, risk assessments, and leadership decision support
- Tender performance outcomes, including win/loss insights, cycle time improvement, and value protection
- Adherence to customer requirements, company policies, SOPs, approval matrices, and internal controls
- Delivery of Bids and Tendering Excellence initiatives, tools, dashboards, and process improvements
- Quality of stakeholder collaboration, knowledge sharing, and contribution to tender capability building

Main interfaces/collaboration :

EP MEA Commercial Leaders, Country Sales and Marketing teams, Strategic Account Management, Finance, Supply Chain, Regulatory, HCC, Legal, Business Compliance, Distributors, EM/EMEA Pricing teams, Commercial Excellence, Customer Service, and regional EP portfolio stakeholders

Qualifications / Requirements:

- University/Bachelors Degree
- Ideally degree in a business orientated subject (Finance, Marketing, Economics, Business)
- Minimum 4 years of relevant experience in bids and tender management, pricing, commercial operations, or bid management, preferably across MEA or complex regional markets.
- Experience in the Medical Device industry, Pharma, or healthcare tendering environment is preferred; EP or cardiovascular experience is an advantage.
- Advanced proficiency in MS Office, especially Excel and PowerPoint; experience with dashboards and analytics tools is an advantage.
- Working knowledge of SAP will be an advantage

Technical and Functional Skills

- Strong understanding of bids and tender management, commercial processes, pricing governance, technical documentation, and bid submission requirements
- Strong analytical skills with the ability to interpret data, identify risks and opportunities, and translate insights into practical recommendations
- Excellent problem-solving skills, high attention to detail, and ability to manage multiple priorities in a fast-paced environment
- Ability to develop internal/external collaborations and build positive, constructive relationships across all levels and disciplines
- Ability to influence business partners through fact-based analysis, clear recommendations, and strong follow-through
- Strong communication skills, including framing issues, presenting options, and explaining solutions clearly to business partners and cross-functional teams
- High sense of urgency
- Fluent in English and Arabic (French language is a plus)
