We are seeking a highly organized, proactive Executive Assistant to support three Vice Presidents with executive administration task, stakeholder coordination, and Distribution Management document filing and organization.

The ideal candidate brings strong executive administration skills, disciplined organization, sound judgment, and clear communication in a fast-paced, international environment. This role is critical to improving leadership productivity through effective calendar management, meeting preparation, travel coordination, expense administration, virtual-meeting support, and dealer contract approval coordination.

The incumbent supports the Vice Presidents with internal stakeholders at all levels, as well as external customers and dealers. The role also supports selected light project-based activities, in person meeting organization, and governance processes documentation as required.

Your Impact:

- Executive calendar management: Proactively manage complex calendars for the Vice Presidents, including recurring and ad hoc meetings, schedule conflicts, time-zone coordination, and regular reviews to ensure effective use of leadership time.

- Travel and expense management: Coordinate air, rail, rental car, hotel, and itinerary arrangements in line with AGCO Travel Policy, and administer travel expenses accurately through the relevant systems.

- Meeting and event coordination: Organize internal and external meetings, including invitations, agendas, materials, presentations, meeting rooms, hotels, transportation, catering, and follow-up logistics for the Vice Presidents and their teams.

- Distribution Management administration: Coordinate dealer contract signatures through DocuSign or email based on legal-entity setup and signatory authority, maintain compliant document storage, create purchase orders and payment requests, track budgets, and maintain efficient filing systems.

- Confidential support and delegated approvals: Handle highly confidential information with discretion and administer delegated approvals, including travel expenses and vacation approvals, as authorized by the Vice Presidents.

Your Experience and Qualifications:

- Required: Bachelor’s or associate degree in a relevant field, or equivalent professional experience.

- Required: At least three years of administrative support experience, preferably in a multinational organization and at executive support level.

- Required: Strong knowledge of office management best practices, including calendar discipline, virtual-meeting administration, document handling, and executive-level communication.

- Required: Proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint, with the ability to prepare materials, manage information, and support leadership routines independently.

- Preferred: Additional language skills, prior secretarial training, and demonstrated executive presence, confidentiality, judgment, and stakeholder-management capability.

Your Workplace:

This role follows AGCO’s onsite work model, with employees primarily working from an AGCO location for a minimum of 2 days per week to support collaboration and teamwork.

AGCO Shared Service Center (SSC) is located at Office Garden in the 11th district, in one of the most dynamically developing areas of Budapest providing global support to all AGCO global factories and sites in Finance, HR, IT, Purchasing, Customer Experience and Engineering functions. The office is easily accessible by car and public transport. Restaurants, cafés, and shopping centers are also located around the office.
