The Customer Care Specialist is responsible for answering telephone and email requests, entering and editing customer orders, processing invoices and orders as needed, and responding to customer and Sales Representative requests. This position will also work closely with local branch leadership on other back-office activities and logistical support as needed

Requirements

Key Responsibilities:

- Answer calls, emails and provide general information for all Tigris customers and sales team; troubleshoot customer issues and ensure first call resolution; create tickets, follow up and close all customer inquiries.
- Maintaining and completing Approved quotes for the GA branch as they come in.
- Enter and manage all customer invoicing for your assigned branch.
- Setting up WO’s and dispatching to Operations Manager.
- Aeration Ordering for Approved Quotes
- Aid sales team with quotes/orders, bids, service contracts, and other miscellaneous projects
- Maintaining and Updating all Auto Renewal Contracts for the GA Office (Updating and Sending Notifications Once a Year)
- Field questions on services and billing
- Forward to Ops if answer is unknown
- Perform daily administrative tasks to ensure smooth office operations to include monitoring and coordinating the on-going maintenance of all office equipment, phone system and other information technology systems.
- Answer main office phone, screen and distribute messages and inquiries to appropriate employees
- Coordinate Certificate of Insurance (COI) requests and distribution.
- Continual management of A/R collections efforts to ensure all A/R is collected in a timely manner
- Updates and maintains accuracy of customer database with data that supports Sales Representatives
- Completes paperwork and documentation as necessary and in accordance with department procedures
- Advises manager and other team members of issues in a timely and appropriate manner
- Performs other duties as assigned

Requirements

- 2+ years prior experience in customer service, billing, and sales support preferred
- Experience working with IT systems; must gain proficiency of Tigris IT systems (ERP)
- Proficiency in MS Word, Excel, PowerPoint and general computer systems.
- Excellent phone and customer service skills
- Good project management skills
- Able to take initiative and work independently
- Effectively works in a fast-paced environment
- Excellent typing and data entry skills
- The ability to effectively partner with employees, management and cross functional teams

Preferred Qualifications:

- Team player, willing to jump in where needed
- Adaptability, priorities can change suddenly and being able to adapt and change as needed is key
- Demonstrated experience in high volume billing environments
