Position Overview
Burke Porter Machinery is seeking a professional, customer-focused Receptionist to support our Grand Rapids manufacturing facility on a 6-month contract basis. As the first point of contact for visitors, customers, vendors, and employees, you will create a welcoming front desk experience while supporting site operations, visitor safety compliance, communications, administrative functions, and office hospitality. The ideal candidate is organized, service-oriented, proactive, and comfortable in a fast-paced manufacturing environment.
Responsibilities
Front Desk & Reception
- Greet and welcome visitors, customers, vendors, and guests professionally, serving as the primary point of contact and notifying employees of arrivals
- Manage visitor check-in, including registration, NDAs, badge issuance, and safety orientations, ensuring compliance before guests access manufacturing areas
- Maintain accurate visitor logs and access records per company security and safety policies, escalating unauthorized access or safety concerns to site leadership
- Operate the multi-line phone system and main voicemail inbox, directing calls and messages to the appropriate employees
Meetings, Events & Hospitality
- Coordinate logistics for customer visits, executive meetings, and VIP events, including room setup, materials, parking, and catering
- Schedule conference room usage and support meeting setup and teardown
- Manage meal orders and catering with approved vendors, ensuring accurate orders, timely delivery, and dietary accommodations, and reconcile catering expenses as needed
Office Support & Supplies
- Maintain inventory of beverages, breakroom supplies, and office consumables, placing orders and organizing storage to prevent shortages
- Assist with general administrative tasks, data entry, and filing as assigned
- Keep the reception and common areas clean, organized, and professional
Qualifications
- High school diploma or equivalent
- Minimum of 1 year of experience in a receptionist, front desk, customer service, or administrative support role
- Professional verbal and written communication skills
- Strong interpersonal skills, with the ability to interact effectively with employees, customers, vendors, and visitors at all levels
- Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams
- Experience operating multi-line phone systems and managing incoming communications
- Strong attention to detail and the ability to maintain accurate records and documentation
- Self-motivated, proactive, and service-oriented, with a willingness to take ownership of responsibilities
- Reliable attendance and punctuality, with the ability to work on-site consistently throughout the contract
- Ability to pass a background check
Preferred Qualifications
- Experience in a manufacturing, industrial, engineering, or technical office environment
- Familiarity with visitor management systems such as Envoy, Traction Guest, or similar platforms
- Experience coordinating catering services, vendor relationships, or small departmental budgets
- Bilingual in English and Spanish
