Job Description The Patient Concierge serves as the welcoming first point of contact for all patients in a busy plastic surgery office. This role combines front desk administration, patient scheduling, and high-touch customer service, requiring a proactive, "can-do" attitude and the ability to support both clinical and cosmetic services in a professional and engaging manner. Responsibilities
- Welcome patients warmly upon arrival and create a positive first impression for the practice.
- Check in patients efficiently, verify information, and ensure all required documentation is complete and accurate.
- Manage daily schedules for physicians and providers, including booking, confirming, and adjusting patient appointments.
- Perform patient scheduling using practice systems and electronic medical records (EMR), ensuring optimal use of provider time.
- Handle data entry tasks with accuracy, maintaining up-to-date patient records and administrative information.
- Communicate clearly and professionally with patients in person, by phone, and via electronic channels to answer questions and provide guidance.
- Discuss plastic surgery terms and procedures with patients at a high level, helping them understand services and next steps while deferring clinical advice to providers.
- Support prior authorization processes by gathering necessary information and coordinating with insurance or other relevant parties as directed.
- Operate in a sales-oriented capacity when appropriate, such as explaining service options, supporting consult conversions, and promoting practice offerings in a respectful and ethical manner.
- Collaborate with clinical and administrative team members to ensure a smooth, efficient patient flow throughout the day.
- Provide front desk and general administrative support, including handling calls, messages, and basic office tasks.
- Demonstrate flexibility with tasks and schedules, willingly assisting with any reasonable duty needed to support the practice and patient experience.
- Maintain a professional, hospitality-focused environment that reflects the standards of a plastic surgery office.
Essential Skills
- Proven customer service experience in a medical office front desk or patient associate role.
- Experience in a hospitality setting where excellent customer service and guest interaction were essential.
- Strong communication skills, including the ability to interact confidently and professionally with patients and colleagues.
- Experience with patient scheduling and managing provider calendars in a healthcare or medical office environment.
- Proficiency with data entry and basic administrative support tasks.
- Ability to work effectively with electronic medical record (EMR) systems.
- Comfort discussing plastic surgery terms and services at a non-clinical level to support patient understanding.
- Ability to perform in a sales-oriented role, including presenting services and supporting consult conversions.
- Experience with prior authorization processes or willingness to learn and support these tasks.
- Demonstrated flexibility, reliability, and a "can do" attitude toward tasks and responsibilities.
- Availability to work full-time, 40 hours per week, Monday through Friday, in 8-hour shifts typically between 8:00 a.m. and 7:00 p.m.

- Comfort working in a performance-focused environment that includes a 90-day probationary period.

Work Environment This is an on-site role in a plastic surgery office, providing a professional, patient-facing environment focused on both medical and cosmetic services. The position is full-time at 40 hours per week, Monday through Friday, with 8-hour shifts generally starting between 8:00 a.m. and 11:00 a.m., and coverage most commonly needed from late morning into the early evening (such as 11:00 a.m. to 7:00 p.m.). Some optional Saturday hours may occasionally be available but are not required. The office operates with a team-based culture that values balance of life and offers incentives tied to team performance and results. The setting is professional and hospitality-driven, with an expectation of polished, appropriate attire that aligns with a high-end medical and aesthetic practice.

Pay and Benefits
The pay range for this position is $31.25 - $33.65/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
