About this Role

The Project Coordinator I supports project teams within QISG’s Engineering Unit, with a focus on transmission line design, substation design and delivery. This is an entry-level position built to develop technical and procedural proficiency in the engineering industry.

The Project Coordinator owns the organizational success of a project. While the engineering team owns technical outcomes, the Project Coordinator ensures that documentation, communication, and workflows are structured, current, and traceable, so the technical work can move without friction. This role is embedded with project teams and acts as the organizational backbone of project execution.

What You'll Do

Project Coordination & Communication

- Prepare meeting agendas, record minutes, and track action items through to closure.

- Coordinate internal and client communications and drive follow-up on open items.

- Attend project meetings and clearly communicate task progress, needs, obstacles, and timelines.

- File key project correspondence and maintain traceability of decisions and approvals.

Documentation & Document Control

- Maintain project documentation with the help of document control in Procore, Autodesk Vault, SharePoint, Microsoft Teams, and related systems.

- Assist in compiling construction packages and preparing transmittals.

- Coordinate with internal team members and clients on document control and construction package organization.

- Perform document audits to verify project compliance with QISG’s QA/QC processes.

Quality & Deliverables

- Support development of project deliverables such as construction packages, schedules, and QA/QC documentation.

- Support QA/QC documentation tracking and perform non-technical quality reviews of deliverables for accuracy and completeness.

- Develop a working understanding of client standards, deliverable submittal requirements, and project workflows.

Schedule & Budget Support

- Track project schedules, deliverables, and resourcing in coordination with Engineering and Project Managers.

- Support Manager(s) with budget tracking and preparation of month-end financial health memos.

- Develop an understanding of project lifecycle stages; scope, schedule, budget, and resource planning.

Business Unit & Process Support

- Create and maintain internal templates and standard work products.

- Participate in process improvement initiatives, identifying efficiencies and supporting implementation.

- Support file governance and folder structure standards across the business unit.

- Compile budgetary data across projects and develop charts for internal reporting needs.

- Other duties as assigned.

What You'll Bring

Required

- High School Diploma or equivalent.

- 1+ years of related administrative or technical experience, or 2+ years as a Project Management Administrative Intern (PMAI) or equivalent.

- Strong organizational, written, and verbal communication skills.

- Proven ability to manage multiple priorities and follow through on details without prompting.

- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Microsoft Teams.

- Comfort learning new systems quickly and working within defined processes and standards.

Preferred

- Associate’s degree or higher.

- Experience with Procore, Autodesk Vault, SharePoint, or Microsoft Project.

- Exposure to engineering, construction, utility, or transmission line/substation environments.

- Experience with document control, transmittals, or QA/QC documentation.

- Intermediate Excel skills (pivot tables, charts, formulas) for budget and reporting support.
