Job Summary
The Philanthropy Administrative Assistant at DAP Health will play a pivotal role in supporting the DAP Health Philanthropy team, specifically the Chief Philanthropy Officer and the Director of Philanthropy, by managing administrative tasks, coordinating schedules, and ensuring efficient
workflow within the department. This position is essential for providing exceptional support to Philanthropy team members and organizational stakeholders.

Essential Duties/Responsibilities

- Provide comprehensive administrative support to the Chief Philanthropy Officer and Director of Philanthropy Operations, including managing calendars, scheduling meetings, and performing daily administrative duties

- Assist in the preparation and distribution of reports, presentations, and correspondence related to the Philanthropy team

- Maintain accurate and up-to-date records and databases, ensuring confidentiality and compliance with organizational policies

- Coordinate and facilitate communication between staff, board members and external partners

- Assist in the planning and execution of special events and projects, including logistics and coordination

- Monitor and order office supplies and equipment, ensuring the Philanthropy team has the necessary tools to perform their duties effectively

- Handle inquiries and requests from administrative staff, clinical staff, and external stakeholders, by providing timely and professional responses

- Collaborate with other departments to ensure seamless integration of Philanthropy Department operations within the organization

- The position reports directly to the Director of Philanthropy Operations but may also be asked to assist other departments as needed

- Other duties as assigned

Qualifications

Required Skills/Abilities

- Strong organizational skills with the ability to manage multiple tasks and priorities effectively

- Familiarity with non-profit organization special events

- Excellent communication skills, both written and verbal, with a professional demeanor

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications

- Detail-oriented with a high degree of accuracy in data entry and document management

- Ability to maintain confidentiality and handle sensitive information with discretion

- Strong problem-solving skills and the ability to work independently as well as part of a team

- Demonstrated ability to interact professionally with diverse groups, including clinical staff, board members and external stakeholders

Education and Experience

- An associate degree or higher in business administration or a related field is preferred

- Minimum of 2 years of experience in an administrative or clerical role, preferably within a healthcare or non-profit organization environment

- Proven track record of supporting executive staff in a fast-paced setting

- Experience with scheduling, coordinating meetings, and managing calendars for multiple stakeholders

- Familiarity with Customer Relationship Management (CRMs) platforms preferred

Working Conditions/Physical Requirements

- This position is on-site at the DAP Health Sunrise location with possibility of hybrid

- This job operates in an office setting and requires frequent times of sitting, standing, repetitive motion, and talking

- Ability to lift up to 24 pounds
