Job Description
Key Responsibilities
- Provide comprehensive administrative support to the Value & Access team, ensuring business continuity and effective daily operations.
- Manage calendars, meeting coordination, travel arrangements, documentation, and other departmental administrative activities.
- Support team members and stakeholders by providing guidance on departmental processes, procedures, guidelines, and services.
- Coordinate and maintain administrative processes, ensuring efficiency, accuracy, and compliance with company requirements.
- Support continuous improvement initiatives by identifying opportunities to optimize existing processes and implement new administrative solutions.
- Manage and coordinate administrative project activities with clearly defined objectives and timelines.
- Act as a key contributor to administrative projects and special assignments, ensuring timely and high-quality execution.
- Support onboarding and integration activities for new team members and provide guidance within the administrative environment when needed.
- Coordinate office requirements, vendor interactions, and administrative contracts to ensure smooth operational support.
- Plan and organize administrative procedures and systems while driving process standardization and simplification.
- Ensure the timely reporting of technical complaints, adverse events, and special case scenarios related to Novartis products within 24 hours of receipt.
- Support the distribution of marketing samples where applicable and in accordance with local regulations and company policies.
Essential Requirements
- Bachelor's degree or equivalent experience in Business Administration, Office Management, or a related field.
- Proven experience in an administrative, executive assistant, team support, or coordinator role.
- Strong organizational and planning skills with the ability to manage multiple priorities simultaneously.
- Excellent communication and stakeholder management skills.
- Demonstrated ability to work independently and proactively in a fast-paced environment.
- Strong attention to detail and commitment to delivering high-quality work.
- Proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word.
- Experience coordinating meetings, travel arrangements, budgets, contracts, and administrative processes.
- Fluency in English; additional local language skills are considered an advantage.
Desirable Requirements
- Experience supporting teams within the pharmaceutical, healthcare, or life sciences industry.
- Experience in project coordination and process improvement initiatives.
- Familiarity with procurement, vendor management, or contract administration processes.

Expected Annual Base Salary Range for role: 30,500.00 - 43,500.00 - 56,600.00 EUR Annual
The base salary offered is determined based on gender-neutral objectives, such as relevant skills, competencies and experience in accordance with the Novartis pay setting policy and upon joining Novartis will be reviewed periodically.
In addition to your base salary, you may be eligible for a performance-based bonus depending on certain performance parameters.
